Position Summary:

The Office Manager reports to the Campus Dean and provides overarching administrative and maintenance support for the Los Angeles Campus. This multi-functional role requires comprehensive experience and knowledge in office support, including professional writing skills, meeting and event planning, expense processing, and general project management. The Office Manager will also oversee day to day operations of the facility and will at times engage in maintenance work, including replacing equipment, moderate cleaning, scheduling service technicians, and other tasks as needed. The position requires ability to work multiple projects in a fast-paced environment with attention to detail while meeting established deadlines, all while remaining accessible to both employees and visitors.

Principal Duties:

  • Management or support of special projects and events both on and off-site, requiring communication and coordination across multiple departments.

  • Communicate and enforce campus rules and regulations to employees, students, and guests.

  • Support of high-level meetings for senior leadership, including drafting agendas, taking minutes, and distributing materials, as appropriate.

  • Prepare letters, documents, presentations, reports, emails, and other communications with a high level of proficiency and attention to detail.

  • Maintain kitchens, mail room, office supply cabinets, copiers, and common areas as well as keeping inventory of all essential campus supplies and order request

  • Timely preparation and submission of expense reconciliations and invoice payments.

  • General office duties such as answering phones, responding quickly to email requests, maintaining electronic records, trackers, files, and supplies; handling mail, and shipping letters and packages.

  • Create ID cards for faculty, staff, and students and update the information on our database.

  • Perform routine inspections of the campus and report/follow up on any operational or maintenance issues.

  • Other tasks as assigned.

Essential Knowledge, Skills, and Abilities:

  • Dedicated, reliable, and responsible, with a highly conscientious and focused work ethic.

  • Ability to discern priorities, anticipate needs, and identify potential issues and conflicts.

  • Possession of a proactive, “can-do” attitude with a collaborative working style, able to take initiative and suggest improvements, as needed.

  • Must be responsive and quick-thinking, with ability to adapt and respond to changing circumstances effectively in a fast-paced environment.

  • Ability to work well independently with minimal supervision and as part of a team.

  • Ability to handle work of a confidential and sensitive nature, utilizing considerable discretion, judgment, tact, and diplomacy.

  • Possession of a polished and professional demeanor at all times (in person, via email, and by phone) with strong customer service skills and the ability to remain flexible, tactful, and patient in all circumstances.

  • Advanced proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.

  • Experience with Concur preferred, but not required.

  • Flexibility to work some evenings and weekends as needed.

  • Ability to lift, push, and pull 50 pounds.

Position Qualifications:

  • Minimum of 5 years of experience within an administrative role with at least 3 years of administrative management.

  • At least 1 year of prior facilities management experience preferred.

  • Bachelor’s degree required. Master’s degree preferred.

Compensation & Benefits

This opportunity is budgeted at $$28 - $32 per hour base compensation. Additional compensation factors may impact total compensation.
