Who We Are:
The English Literature Department at Swarthmore College consists of eleven full-time faculty and over seventy undergraduate majors and minors. We are a lively hub of teaching, research, and academic events.

The opportunity:
The Administrative Assistant II (AAII) provides administrative support for the Chair, faculty, and students of the English Literature Department. The full-time, 11-month (.92 FTE) position requires student, staff, and faculty interaction, and requires a high level of organization, initiative, and discretion. This position has a work schedule of mid-July through mid-June.

Key tasks include office management; records and information management; budget preparation and accounts management; support for faculty teaching and research; event planning and execution; communications; support for faculty hiring and reviews; hiring, training, and supervising student workers; and support for assessment activities.

Essential Responsibilities

  • Office Management (greeting visitors, routine clerical work and main office upkeep)
  • Financial Management (departmental purchasing & spending, coordinating invoices and travel forms, processing honoraria and reimbursements for visitors)
  • Records and Information Management (maintaining Google Drive documents and Excel/Google Sheets, checking academic information that appears across print and online platforms at the College)
  • Events and Activities Planning (assisting with lectures, receptions, departmental retreats)
  • Curriculum Management (course lists and schedules, enrollment lotteries, coordinating visiting honors examiners)
  • Faculty Support (assistance with hiring, tenure/promotion reviews)
  • Communications (frequent email communication with students, faculty, and other departments/programs)

Who you are:

  • Candidates for this position should be detail-oriented, proficient with budget management, and able to communicate clearly, both verbally and in writing, to a range of audiences.
  • Ability to learn new computer software and interfaces as necessary.
  • Excellent communication, both written and verbally.
  • Excellent organization skills. Must be able to handle multiple tasks, take initiative and work independently.
  • Previous budget management experience, strong writing, editing, and proofreading skills.
  • Excellent interpersonal and customer service skills.
  • Design skills and proficiency in image editing and design tools (including tools and services such as Canva, Photoshop, and Adobe Illustrator)

What you bring:

  • High School Diploma or equivalent with three to five years of job-related experience or an equivalent combination of education and/or experience.
  • Bachelor’s degree or college level education preferred.
  • Proficient with computers, including but not limited to MS Office Suite and Google Suite.
  • Prior work experience in higher education, as well as proficiency with Banner, Moodle, and/or other specialized software, are preferred.
