The Undergraduate Admissions (UG) Campus Visit Coordinator welcomes all guests to the UG Admissions Office and facilitates the Alvernia campus visit experience from the time a guest registers for a visit, throughout their time on campus, to the time the guest leaves campus. This person also takes the lead in all operational activities of the UG Admissions Office and Welcome Center, including supervision and communication with the Welcome Center staff, as well as working with The Golden Guides in terms of scheduling tours and conducting ongoing training. The Campus Visit Coordinator will also reserve rooms for all group visits, Open Houses, and recruitment events for the office using the Astra System. This role requires organizing the UG Admissions event calendar, communicating with faculty & staff, collaborating with the Director of Enrollment Operations, ordering catering for events as needed, and working closely with campus facilities on set ups of all events. In addition, she/he will assign Golden Guides to create welcome packets for all visitors including prospective students, candidates for university employment and university guests. The Campus Visit Coordinator answers all incoming UG Admissions Office calls and is responsible for the UG Admissions Office email inbox. This individual also performs other secretarial and clerical duties including data entry.
ESSENTIAL FUNCTIONS:
- Welcome prospective students and their parents to the UG Admissions Office during individual and group visits.
- Coordinate reservations for all UG Admissions events including Open Houses, Twilight Tours, Scholarship Luncheons, and Accepted Student Days.
- Communicate with the UG Admissions and Welcome Center staff about all campus visits. This would include the scheduling of visits and Golden Guides and assist with the ongoing training of tour guides based on surveys conducted after all visits.
- Assist the UG Admissions Office by facilitating the prospective student experience during his/her visit to campus, including scheduling campus tours, interviews and appointments with coaches, faculty, or other staff.
- Ensure that the overall guest experience meets the expectations of the UG Admissions Office, Human Resources, Athletics and The Senior Leadership Team.
- Serve as the first reference and provide basic counsel and information for prospective students and families, including updates on application status or various missing documents.
- Answer and direct incoming phone calls and emails to the appropriate university contact.
- Train student workers regarding office protocol.
- Attend all Undergraduate Admissions Events.
- Maintain the appearance of the Admissions Lobby and Welcome Center area, and order all supplies as needed.
- Promote Franciscan ideals and adherence to the Mission of the University.
ADDITIONAL RESPONSIBILITIES:
- Maintain and develop relationships with faculty and staff of the University.
- Perform secretarial, clerical and data entry duties as required.
- Edit various documents including, but not limited to, those which will publicly represent the University to ensure the writing incorporates proper grammar, punctuation, paragraph, and sentence structure as found in The Elements of Style (Strunk and White) and Modern American Usage (Graham).
- Perform other services as deemed reasonable by the Director and Senior Vice President of Enrollment Management & Student Affairs.
QUALIFICATIONS/EDUCATION:

- Attention to detail and ability to multi-task.
- High level of professionalism.
- Proficient in the usage of computer programs (Microsoft Office) and technology.
- High School Degree.
