Your opportunity:

Under the direction of the Manager, Finance and Special Projects, the Financial Assistant is responsible for processing financial and payroll related documentation for all employee groups in the department. The incumbent supports the Manager, Finance and Special Projects in setting up, updating and maintaining FIS and HRIS information, collating financial reports from FIS and assist with end of month reconciliations, and investigates and corrects any financial discrepancies. They will perform a range of duties related to financial processing, report generation, and tracking as well as some general financial administration.

Your responsibilities will include:

  • Coding financial information for processing in FIS
  • Reconciling purchasing card statements
  • Checking that proper approvals are obtained prior to processing transactions
  • Preparing and/or processing journal entries
  • Generating standard financial reports
  • Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Identifying and resolving individual financial discrepancies

Essential Qualifications:

  • Advanced College Diploma (3 years) in Accounting or related field or acceptable combination of equivalent experience.
  • Minimum two (2) years of related experience with providing financial and administrative support.
  • Demonstrated understanding of financial management procedures, accounting principles and procedures, and an ability to accurately interpret and apply guidelines, procedures and regulations.
  • Experience updating databases and generating reports.
  • Experience compiling, sorting and organizing financial data.
  • Demonstrated experience using FIS and/or HRIS or similar SAP systems.
  • Experience preparing and processing journal entries.
  • Experience with recording and reconciling transactions for accounts.
  • Demonstrated experience with processing financial transactions and analyzing data discrepancies.
  • Experience with organizing the logistics of meetings and booking rooms including arranging catering and appropriate accommodations.
  • Advanced skills in Microsoft Office (e.g. Excel, Word and Outlook).
  • Excellent problem-solving and customer service skills.
  • Excellent organizational and interpersonal skills.
  • Strong analytical skills and detail-oriented with a high level of accuracy.
