Job Summary
The Business Operations Specialist of the Department of Art and Design provides administrative financial support to the department and the Mary S. Byrd Gallery of Art. The incumbent filling this position will provide critical administrative support to the faculty and students of Studio Fine Arts, Animation and Digital and Visual Storytelling programs. Assuring adherence to institutional policies and procedures with processing budgetary actions. This person will interface with administrative personnel through the Pamplin Dean's office, Foundations, Financial Operations, Student Life and Engagement, Innovation and Instruction, and Research. This is a non-supervisory, combination operations/budget/accounting-type position. With responsibility for a specialized business services related to primary operations of an academic department.

Responsibilities
The duties include, but are not limited to: OPERATIONS: Assist the chair through planning, directing, and coordinating departmental operations. Provides critical administrative support to the chair, faculty and staff to assure adherence to institutional policies and procedures, processing budgetary and personnel actions. FINANCE and BUDGET: Provides critical analysis and tracking of all financial and budgetary information for the Department in partnership with leadership on financial planning for operations, budget and in support of strategic initiatives. Performs cost analysis, forecasting and budget preparations for new projects, hiring, curriculum programs and initiatives. Assists faculty in processing financial documents to include the establishment of budgets and effort assignments for activities associated with Travel, research and creative activities. Monitors the expenditures across all areas and prepares various reports for budgets associated with operations and facilitating all art making programs for the Department of Art and Design. Purchase supplies, materials and equipment for all programs within the Department of Art and Design through State funding sources providing critical analysis and tracking of all financial and budgetary information.

Required Qualifications
Bachelors degree in Business Administration or a related discipline and 1 year administrative and/or management experience OR High School diploma and 3 years administrative and fiscal management experience.

Preferred Qualifications
Preferred Experience: Excellent communication and organization skils. Knowledge of College, University and State policies. Have a working knowledge of Art making materials and practices.

Knowledge, Skills, & Abilities
KNOWLDGEKnowledge and direct experience in financial and budgetary practices, fiscal data administration as well as compliance and records management.Proficient in Microsoft Office and other computer software/databased or willingness to learn. SKILLSExcellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills.Detailed oriented with strong critical thinking, customer services, organizational, prioritization, analytical and multi-tasking skills.Demonstrated skills with Foundations account policies and fund management. ABILITIESAbility to work independently and exercise sound judgement.Ability to maintain confidentiality and work with a variety of offices and support units.

Shift/Salary/Benefits
Shift: Days/M-F (Work outside of the normal business hours may be required)

Pay Grade: 15

Salary Minimum: $38,913/annual Midpoint: $52,532.55/annual

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
