Duties:

Under general direction, the Administrative Assistant performs varied office, clerical, and financial duties and provides confidential administrative support to the Vice President of Financial and Business Services/ College Treasurer. The Administrative Assistant maintains a close and highly responsive relationship regarding the day-to-day office activities with the Vice President. The Administrative Assistant requires knowledge and understanding of the institution’s philosophy, programs, and procedures relating to the finance division. The Administrative Assistant is dedicated to the learning college concepts by facilitating activities that promote student success and lifelong learning.

Education/Experience:

Associate’s Degree in administrative assistant, office technology, secretarial science, or related area; professional administrative assistant certificate; or equivalent college hours required. Certifications in Microsoft Excel, Word, Outlook, and/or related training preferred.

Minimum of 4 years of administrative assistant or related experience required.
Proficiency testing for this position is required which includes Microsoft Office (Word, Excel, PowerPoint, Outlook), proofreading, customer service, keyboarding and others.

  • High level of secretarial and office administration skills.
  • Working knowledge of PowerPoint and Adobe Acrobat Pro.
  • Experience with computerized accounting systems.
  • Above average computer skills, including 10 key calculators.
  • Strong interpersonal and communication abilities (verbal and written)
  • Highly organized; ability to schedule appointments, arrange meetings/travel and maintain calendar for senior leadership.
  • Demonstrated experience in monitoring budgets, purchase orders and process payroll timesheets.
  • Ability to manage confidential material and maintain confidence.
  • Excellent ability to assist the Vice President of Financial and Business Services with gathering investment bid information and placing investments.
  • Ability to assist in preparation of financial reports and ensure safekeeping of college funds by reviewing banking and investment statements for proper recording.
