Organizational Unit Overview:

The School of Dental Medicine is composed of ten administrative offices and four academic departments. The Administrative units include the Offices of the Dean, Vice Dean, Associate Dean for Student Affairs, Associate Dean for Research, Associate Dean for Clinical Affairs, Associate Dean for Extramural Clinical Practices, Assistant Dean for Dental Education and Informatics, Assistant Dean for Educational Support and Faculty Development, Assistant Dean for Academic Success and the Assistant Dean for Business Operations and Financial Affairs. The four academic departments are Surgical Sciences, Pediatric Dentistry, Orthodontics and Dentofacial Orthopedics, General Dentistry and Foundational Sciences.

Included in the mission of the School of Dental Medicine is to educate dental care providers (both dental students and dental residents) and to address the oral health care needs of the underserved population of North Carolina. The School of Dental Medicine meets these missions by operating dental clinics that provide both educational experiences for the dental students and residents and provides dental care to the residents of North Carolina. These clinics occur in both Ross Hall in Greenville, North Carolina, as well as Community Service Learning Centers located throughout North Carolina. In order to operate these clinics, appropriate dental auxiliaries and clinical staff are needed.

Job Duties :

Job Duties:
1. The Director of Student Services serves as the SoDM’s primary point of contact regarding student matters. – 40%· Facilitates communication with individual students and groups of students· Serves as a resource for students, staff and faculty for student-related matters, policies and procedures· Researches University and peer institution student-related policies, procedures and regulations and drafts SoDM standard operating procedures and guidelines· Ensures that processes and practices fully comply with appropriate legal, regulatory (federal, state and institutional) and accreditation standards (e.g., Family Educational Rights and Privacy Act, Americans with Disabilities Act, HIPAA, Commission on Dental Accreditation)· Definitively responds to all inquiries from students and to all inquiries regarding students· Interfaces with a wide range of internal and external stakeholders, including: the Chancellor’s Office, Board of Trustees’ members, other state agencies and university units, and counterparts at other universities· Develops class composites· Maintains and updates Student· Oversees maintenance of student records (e.g., tracks student absences, collects and reviews immunization records and final transcripts for incoming students) in compliance with university and SoDM policies2. Oversees functions of all SoDM student organizations – 25%· Advises and mentors leaders of student government and student organizations· Manages SoDM student activities fund; makes determinations regarding allocation of funding, based on requests from students· Oversees all student organization expenditures, including payment of invoices and reimbursements where appropriate· Approves student organization activities and fundraisers· Maintains calendar of student activities3. Manages student housing program for 50 SoDM students who rotate through three different locations during the fourth year of the DMD program – 3%· Makes decisions regarding suitability of housing options for students on rotations· Interfaces with North Carolina Area Health Education Center offices across the state regarding student housing· Approves student housing requests and manages leases and keys, as requested by regional AHEC offices4. Manages student travel budget and related travel logistics for students traveling to professional meetings – 5%· Develops student travel budget· Educates students regarding parameters for school-sponsored travel· Determines allocation of travel amount, based on student request and established budget· Coordinates application and selection process for various travel opportunities (e.g., A-dec, ASDA National Leadership Conference)5. Coordinates and directs all graduation-related events and activities for the SoDM – 10%· Events include: North Carolina Dental Society Signing Day; Omicron Kappa Upsilon Dental Honor Society Induction and Banquet; SoDM Graduate Recognition Breakfast; SoDM Convocation Ceremony; Ross Hall Open House· Assumes budgetary responsibility for graduation-related events and activities listed above6. Coordinates and directs student-related events for the SoDM – 10%· Events include: week-long new student Orientation, Tomorrow Starts Soon pre-orientation event, White Coat Ceremony· Assumes budgetary authority regarding for events listed· Partners with the SoDM Director of External Relations in coordinating SoDM Fall Convocation; partners with the SoDM Director of Development in planning SoDM Family Day7. Serves as a resource and advocate for students – 5%· Contacts other university offices and external constituencies as needed to resolve student concerns· Advocates for students both within the SoDM and externally· Manages extremely confidential student matters· Facilitates the development of new student programming in response to student, SoDM or university needs· Provides training for pipeline students (and in the future, dental students) regarding etiquette and professional self-presentation8. Supervises student worker(s) – 2%

Minimum Education/Experience :

Master’s degree in education, communications, student services or related field; or equivalent combination of training and experience. (All degrees must be received from appropriately accredited institutions.)

Excellent oral and written communication skills; highly effective interpersonal skills, tact, diplomacy, flexibility and the ability to maintain a high degree of confidentiality.

Demonstrated ability to organize and manage work, supervise staff effectively, meet deadlines, and solve problems independently and swiftly.
