Position Summary:

Under general supervision, performs a variety of moderately difficult duties primarily pertaining to the admission and registration of students. The position also requires responding to general questions, verification requests, performing various processes that effect the student record in relation to other college departments, and maintaining all aspects of the student’s permanent official record.

Reporting and Supervisory Relationships:

Direct reporting relationship to the Assistant Director of Enrollment Student Services.

Essential Responsibilities:

  1. Responds to inquiries received both via phone and in-person respective to the area (i.e. admission, registration, programs, courses, campus parking, identification cards, etc.).
  2. Provides comprehensive value added information to students in order to support functions related to enrollment.
  3. Accepts and processes forms respective to the area (i.e. admission, registration, transcripts, parking, identification cards, etc.).
  4. Registers students for credit, non-credit and continuing education courses, both in- person and by phone. Provides verification of enrollment for various agencies and employers-creates letters, completes company issued verification forms, and verbally provides verification of enrollment.
  5. Provides enrollment verification in verbal, written and electronic form (i.e. third party forms, correspondence from college, electronic submission, etc.).
  6. Files and maintains all enrollment related forms (i.e. application, registration, high school transcripts, release of confidentiality, quality high school senior, cooperative agreement, work in district forms, etc.).
  7. Maintains student records including processing incoming high school transcripts applying waivers, preparing permanent files, relocating records throughout the year, disposing of records per the disposal certificate.
  8. Work in conjunction with department liaisons to facilitate the enrollment, billing and disbursement of educational records for students participating in dual credit, dual enrollment, company sponsored and athletic programs.
  9. Process, maintain, and ensure receipt and retention of all respective enrollment related documents associated with dual credit, dual enrollment, company sponsored and athletic programs (i.e. application, registration forms, high school transcripts, release of confidentiality, quality high school senior forms, etc.).
  10. Maintain reports to ensure receipt and retention of documents associated with students participating in dual credit, dual enrollment, company sponsored and athletic programs.
  11. Apply and maintains all respective holds to all dual credit, dual enrollment, company sponsored and students in athletic programs.
  12. Identifies sponsorship, dual credit and dual enrolled students currently deficient in degree/certificate requirements. Communicates with student and/or department liaison to inform student of potential degree/certificate opportunities at the college.
  13. Participate in various recruiting, information and orientation sessions related to dual credit, dual enrollment and company sponsored programs.
  14. Prepares bulk mailings of enrollment related materials, schedules, etc.
  15. Performs other duties as assigned within the scope of the department, consistent with the role of this position.
  16. Daytime and evening hours are associated with this position.

Working Conditions/Physical Requirements:

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects.

Minimum Qualifications:

  1. Associate’s Degree.
  2. One year of customer service experience.
  3. Experience with Microsoft Office Suite or similar programs.
  4. Demonstrated computer data entry proficiency.
  5. Demonstrated ability to maintain confidential information/records.
  6. Demonstrated effective oral and written communication skills combined with strong interpersonal skills.
  7. Demonstrated ability of being detailed oriented and exhibiting a high degree of accuracy with respect to previous work related responsibilities.
  8. Demonstrated ability to work in stress producing situations.


Preferred Qualifications:

  1. Bachelor’s degree.
  2. Previous experience working in higher education.
  3. Colleague ERP experience.
  4. Bilingual in Spanish, ability to speak fluently.

Anticipated Work Hours and Days:

Monday through Friday, 8:00 a.m. to 4:30 p.m.
