Status:             Temporary, Part Time


General Description
Primary responsibility of the position is to assist the Facilities Department on a daily basis by answering the Facilities phone line, entering work orders, dispatching work requests to the technician, and coordinating with the Department Supervisors to make certain that all requests from students, staff and administrators are communicated in a professional and timely manner.
 
Primary Duties and Responsibilities

  1. Work with the Facilities Maintenance Software- School Dudes to enter, close and track all work orders as well as provide reports on work orders.
  2. Process preventative maintenance work orders as it relates to all HVAC/ Plumbing equipment on campus.
  3. Interact and greet all outside contractors and vendors on a daily basis and assist with any requests and/or connect them with the proper supervisor to coordinate the related work.
  4. Enter and process Purchase Order Requisitions and maintain all data related to purchases.
  5. Process requests for payment and/or reimbursement and purchase orders for the department and keep records and copies. Work closely with the Finance Department on processing timely invoices for payment.
  6. Process mail on a daily basis including routing all invoices to proper Supervisor for approval and then filing internal copies for records as needed.
  7. Process for payment and track water and sewer bills and usage for the campus in a spreadsheet.
  8. Provide project administration support to Director and Assistant Director for summer & capital projects; organizing, filing, archiving documents etc.
  9. Perform clerical duties for Director of Facilities and Assistant Director of Facilities as needed.
  10. Maintain, update and order the office supplies and uniform items for department as needed.
  11. Maintain and update departmental vacation calendar.
  12. Complete daily report of work completed for the day and state any issues or concerns.
  13. Assign, coordinate and over-see tasks for student worker.
  14. Perform other related duties as assigned.

Requirements

  • High School/Equiv. Diploma
  • Advanced experience with spreadsheets, databases and Microsoft Word
  • 3+ years of comparable experience
  • High degree of professionalism
  • Excellent customer service skills
  • Excellent interpersonal and written communication skills

    Enrollment/Student Body Profile. Our student body is made up of 2,700+ students representing over 16 states and several countries. 1,800 are traditional undergraduate students.

    Academic Programs. The Mount offers 50 undergraduate programs leading to a Bachelor of Arts or Bachelor of Science degree. Our collaboration programs offer you a chance to earn a bachelor's degree, plus an advanced degree with schools like Fordham University, Pace University, and New York Medical College. The college also offers master's degrees in education, business, and nursing.
