Responsibilities

Assists in coordination of research proposal activities for the College of Medicine by providing support for faculty, postdoctoral research assistants, students and staff applying for extramural funding and transferring awards. Activities include review and analysis of proposal documents for accuracy and compliance; development of budgets; assistance with interpretation of sponsor guidelines and requirements; assistance in understanding and following COM and University policies and procedures; and assistance in processing proposals and correctly routing them through final submission. Facilitates interaction and coordination between COM faculty and staff, FSU Office of Research and Research Foundation staff, and sponsor personnel as needed. Assists in providing necessary information to satisfy sponsor requirements to process awards.

Processes post-award actions and assists with progress reporting.

Creates and maintains proposal files. Compiles information for database entries on contract and grant activity as well as other office activities that are tracked for various reporting purposes. Assists the Research Administration Coordinator in monitoring and responding to office requests for assistance via the Research email in-box, walk-ins, telephone and other inquiry channels.

Special projects and other duties as assigned.

Qualifications

Bachelor's degree and one year of experience; or a high school diploma/equivalent and five years of experience.
(Note: Post-high school education can substitute for experience at the equivalent rate.)

  • Experience in demonstrating effective customer service skills.
  • Experience in communicating effectively verbally and in writing.
  • Experience in establishing and maintaining effective working relationships.
  • Experience in meeting project deadlines.
  • Experience in performing accurately in a detail-oriented environment.
  • Experience in prioritizing, organizing, and performing multiple work assignments simultaneously.
  • Experience in reviewing and reconciling financial data for accuracy, completeness, and compliance.
  • Experience with Microsoft Excel and Word, or equivalent software.

This position requires successful completion of the eSPEAR certification series within six months from start date.

The ideal candidate for this position is one who brings grants and contracts experience to the role, and who is skilled at communication and collaboration. The ideal candidate is also detail-oriented, organized, adaptable to changing situations, and has excellent reading comprehension skills.

Typical Day in This Position
There isn’t one! Pre-award proposal development support is the primary activity for the position, but there are many different tasks associated with that support. A work day could include working with a researcher to develop a project budget, communicating with FSU approvers and sponsors to clarify requirements and policies, reviewing grant opportunities, assisting document development, preparing and coordinating proposal submittal in FSU’s research administration system, collaborating with the COM post award and other college research administration teams, transferring proposal data to our internal database, and assisting with College of Medicine research events. There are also numerous training and professional development opportunities available.

First 6 Months
The first six months will be spent in intensive training. FSU eSPEAR training will provide an understanding of the institutional research administration processes and requirements, and COM-specific training and job shadowing will provide exposure to our research enterprise, identify internal expectations, and develop familiarity with COM researchers and sponsors.

Anticipated Salary Range

Anticipated starting salary for this position is $45,000, commensurate with education and experience.
