The College of Engineering and Applied Science is looking for a 100% FTE, full-time position. This position will be an Executive Assistant to the Assistant Dean of Inclusive Excellence and Community Engagement (IECE).
Under general supervision from the Assistant Dean of IECE, will assist in the planning and coordination of administration and/or operational activities. Must be accomplished in office management, student and financial records, stewardship, oral and written communication skills, customer relations, teamwork, and organizational skills. Time management is required with a good ability to balance the demands of an unpredictable work environment. A commitment to diversity, equity, and inclusion and the ability to communicate with a diverse team will ensure success in the role. An ideal candidate will have the ability to self-start with minimum supervision or instruction, to interpret policy, solve problems, improve processes, establish and maintain quality procedures, and develop standardization for repetitive assignments required. Must have a passion for learning new applications, approaches, and methodologies that bring efficiency and waste minimization to the workplace. Must be able to maintain confidentiality and exercise extreme discretion for matters pertaining to the day-to-day functions of office, staff, parent, and student based activities.
Essential Functions- Perform responsible administrative staff functions for the Assistant Dean, frequently of a confidential nature, concerning administrative activities of substantial complexity, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
- Maintain comprehensive and accurate records.
- Prepare responses to inquiries: Perform minor accounting duties; Expense reports; Budget tracking.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Answering phone calls in a polite and professional manner.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
- Managing assistant dean’s calendar, including making appointments and prioritizing the most sensitive matters; Including travel coordination and logistics.
- Maintain liaison with designated unit directors and administrators, as well as external offices and agencies to ensure conformity to external policies and procedures.
- Prepare memos, speeches, and position statements, as required.
- Represent administrator, as needed, with moderate authority to make commitments on administrative policies and procedures.
- Perform related duties based on departmental need.
- Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years’ experience; -OR- five (5) years’ experience.
- Experience must be in high-level administrative support.
- Proficiency with Microsoft Suite.
