 The University of Maryland, Baltimore (UMB) is currently recruiting for a Program Management Specialist. We are looking for a Program Management Specialist to coordinate operations and people for various programs in the Applied Immunology Section of the Center for Vaccine Development (CVD).Responsibilities are to include: managing deadlines, organizing operations and enhancing policies. To succeed in this role, you’ll need to have strong organizational, attention to detail, and communication skills, as well as experience with a fast-paced work environment.     Performs a full range of clerical to paraprofessional duties related to the day-to-day operations of the Applied Immunology Laboratory Group. Follows established guidelines to collect, compile, and organize data for various ongoing studies and tasks. Organizes and maintains the laboratory group’s purchasing needs (i.e., Purchase Order setup, credit card payment orders, obtaining quotes and invoices, etc.). Oversight and coordination of all laboratory equipment service agreements, as well as all software related upkeep needs. Prepares draft reports, recommendations, and other information resources for use by the group and its leadership. Will also assist in preparation of final reports for both federal and industry funded research projects. Compiles information needed for use in formulation of the organization`s budgets, grant proposals, and project proposals. Will assist Program Manager and laboratory Section Chief on numerous federal and industry funded grant and contract proposal submissions. Detailed set up and continued organization/maintenance of the laboratory’s supplies and general office supplies using online software (eLab) and other necessary programs. Interacts with internal and external personnel and vendors. Establishes effective communication channels and acts as liaison between the necessary contacts within and outside the institution. Handles sensitive and confidential information with tact and discretion. Remains current with, and maximizes the use of technology for efficient processing, generation of reports, and other related tasks. Assists in the planning and implementation of new or revised programs, procedures, practices and organization. Collects, compiles, and organizes data pertinent to various ongoing studies. Analyzes, summarizes, and communicates this information to appropriate officials. Basic assistance with new hires to the laboratory group, as needed. This would include getting new laboratory members set up with required trainings, access to specific information for day-to-day work, etc. Assist the group’s Program Manager with all other programmatic related tasks, as needed.

Qualifications
EDUCATION: Bachelor's DegreeEXPERIENCE: Two (2) years experience in administrative staff work.OTHER: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience. KNOWLEDGE, SKILLS, AND ABILITIES:
  • Tech-savvy with working knowledge of time and project management software (e.g., OneNote, Asana, etc.)

  • Skill in the use of office Microsoft Office and its applications, as well as the DocuSign platform.

  • Familiarity with organizing and overseeing purchases (i.e., purchase orders, credit card payments, working with vendors, etc.)

  • Proven ability to problem solve, self-motivate, and work independently.

  • Exceptional oral and written communication skills, with the ability to establish and maintain effective working relationships, and handle sensitive materials with discretion and tact

  • Ability to independently handle multiple tasks and set priorities.

  • Familiarity with industry-related laws and regulations.

Based on the duties of this position, selected candidates are eligible to participate in the Bargaining Unit (Union).  HIRING RANGE: $44,878- $50,731.70 (pre-probation)
