Job Summary:

This is an opportunity to join The Division of Medical Oncology at the University of Colorado Anschutz Medical Campus in a fast-paced Business Services role, with

responsibilities in the areas of calendar management, travel arrangements, expense reimbursements, credentialing and medical licenses, facilities requests, procurement, coordinating events, scheduling, and coordinating candidate recruitment visits.

Key Responsibilities
    Serve as the primary contact for Division regarding administrative support of faculty and disease groups. Travel arrangements, expense reimbursements, management and tracking of CME funds. Provides information and instructions to obtain or update National Provider Identifier (NPI) number as well as DEA registration and renewals.
  • Processing reimbursements for faculty for expenses and travel.
  • Support ongoing credentialing matters providing administrative support to existing providers to ensure medical licenses, prescriptive authority, board certifications, training and evaluations are complete and up to date for reappointment with UCH, CU Medicine, and other medical facilities as necessary.
  • Front line support and customer service to Division faculty, staff, students, and walk-in visitors. This includes answering phones and emails.
  • Using a university procurement card to assist with purchasing needs.
  • Scheduling and coordinating events and recruitment visits.
  • Helping Human Resources to schedule faculty interviews and campus visits.

Qualifications:

Minimum Qualifications

Entry Level:
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

Intermediate Level:
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • One (1) year of professional level experience in an administrative role.

Applicants must meet minimum qualifications at the time of hire.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualifications
    Experience providing front desk administrative support to high level executives working with faculty (clinical physicians), staff, and students within a higher education academic campus environment and/or working in a healthcare, or health sciences related field, oncology administrative experience preferred. Experience creating detailed expense reports to reconcile charges on procurement cards and submitting reimbursement requests. Experience with HR/Finance systems (e.g., COGNOS, HCM, and PeopleSoft, Concur Travel & Expense).

Knowledge, Skills, and Abilities
    Outstanding customer service, oral and written skills. Must possess a professional and calm demeanor and have experience that demonstrates problem solving skills and the ability to manage multiple tasks and work independently with minimal supervision. Resourceful member of administrative team coordinating with A-team colleagues. Ability to prioritize tasks and make decisions under pressure. Strong organizational skills with attention to detail and accuracy. Ability to establish and maintain effective working relationships with a wide variety of individuals and groups within the university and externally. Ability to effectively explain processes and procedures. Demonstrated commitment and ability to advance diversity and inclusion. Working Knowledge in current and evolving technology utilized by the program (i.e., Doodle and Zoom for meeting management, Adobe Acrobat Pro for documents. Optional: Working knowledge of clinical/medical terminology. Ability to take direction and use independent judgment to coordinate various projects and meet multiple deadlines. Strong sense of urgency and problem-solving skills combined with the ability to prioritize projects. Ability to maintain confidentiality and exercise appropriate discretion with information. Responsible for protection of highly confidential and sensitive information including HIPAA protected information. Excellent time management, daily electronic mail organizational skills, and ability to manage and implement multiple projects along with ability to move from one task/duty to another without errors despite frequent interruptions. Ability to produce accurate and timely work products and ensuring accountability. Event planning experience. Advanced skills in Microsoft Office Suite. Proficiency with word processing, spreadsheet, and scheduling software. Excellent internet research skills and attention to detail. Ability to manage budgets and develop financial reports.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

Entry Level: $49,572 - $63,056

Intermediate Level: $53,946 - $68,619

The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation depending on the level.
