This position is an on-site position which requires the incumbent to complete their work primarily at an NAU site, campus, or facility with or without accommodation. Opportunities for remote work are rare.

This position is posted as CEIAS Grant & Project Support Coordinator, which is a working title. The NAU system title for this position is Grant & Project Support Coordinator, Intermediate.

Job Description

NAU's College of Engineering, Informatics, and Applied Sciences (CEIAS) is hiring for a Grant & Project Support Coordinator to join their team! The CEIAS Grant & Project Support Coordinator will increase research funding applications and awards for all CEIAS units through communication of award opportunities, summarization of award requirements and timelines, data collection and data maintenance of past awards and proposals, research areas of interest, facilitating the hire of PT individuals to assist on grant work, and organizing events to increase cross-college research collaboration and grant writing effectiveness.

Pre-Award Review - 40%
  • Conducts initial review on call for proposals and summarizes requirements up front so that PI and Proposal team can quickly determine if they can meet criteria within the timeframe.
  • Review proposals to ensure that administrative assistance requests are falling under the correct budget lines, and to maximize flexibility of spending.
  • Communicate proposal submission timelines and reminders frequently to ensure quality submissions.
  • Assist PIs in identifying accurate hiring costs for effective proposal submission and execution (EX: cost of a GRA + benefits and terms of employment, cost of FT personnel with benefits, SW and PT pay rates and SW/ PT hourly limitations etc.)
  • Work with PIs in the proposal submission process to identify possible paid internships or SW positions that can help promote the 100% career readiness goal and increase the participation of undergraduates in research labs.
  • Follow up with OSP and notify fiscal oversight team as soon as the sponsor has approved an award.

Data Collection and Reporting - 20%
  • Create and maintain a database of CEIAS PIs, PI areas of study, & types of grants applied for/ awarded in the past (EX: NIH, DOE, NSF, ADOT, etc.) to identify application trends, communicate possible application issues to improve submissions moving forward, and communicate award opportunities to relevant parties.
  • Create and maintain a database of PIs and Areas of Research within key Centers at NAU (EX: PMI, CHER/SHERC, ECOSS, etc.)
  • Reviews all rejected proposals and identify controllable causes for rejection. Collect this data to identify areas of training for future grant writing workshops.
  • Serves as a point person for introductions to key research centers and external talent that may be needed for proposals and projects.

Communication & Event Planning - 20%
  • Researches and communicates governmental and institutional funding sources, programs, and opportunities via a weekly email communication.
  • Maintains the Grant and Publication webpage for the College.
  • Plans and facilitates the Annual Research Flash Talk event to encourage cross college collaboration for research. This includes recruiting participants from a wide range of areas within the University, securing internal venue space for the event, arranging for refreshments, creating presentation slides, coordinating poster printing, funding assistance from participating colleges and OVPR, etc.
  • Plans and facilitates 1-2 grant writing workshops per year in coordination with OSP to communicate best practices and increase PIs effectiveness. Focus on weak areas identified in proposal rejections and reviews.
  • Assists with the recruitment and hiring of PT/ SW personnel to assist PI with work specific to each grant. Monitors PT employee's hours to ensure adherence to HR PT policies and works with College financial team to ensure that PT help is staying within grant budget.

Post-Award Wrap Up - 10%
  • Works with Sponsor and PI at the end of the grant to ensure that final reports are submitted on time and in accordance to sponsor preferences. Includes reporting on equipment/ property, patents, and findings.

Hiring/Recruitment - 5%
  • Assists with the recruitment and hiring of PT/ SW personnel to assist PI with work specific to each grant. Monitors PT employee's hours to ensure adherence to HR PT policies and works with College financial team to ensure that PT help is staying within grant budget.

Other - 5%
  • Other duties as assigned.


Minimum Qualifications

  • Associates or undergraduate bachelor's degree; AND
  • 2-4 years of relevant experience working in grant submission/ maintenance.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.


Preferred Qualifications

  • 1-2 years' experience with data collection and maintenance.
  • 1 year experience with event coordination.
  • Experience using NAU's hiring system.
  • Familiarity with NAU payroll.
  • Familiarity with federal and state labor laws.
  • Degree in writing related field.
  • Background in proofreading and editing.
  • Familiarity with Word Press and website maintenance.
  • Experience creating and delivering PowerPoint presentations and training.

  • Knowledge of grant and contracts funding policies and procedures and applicable local, state, federal, and university regulations.
  • Knowledge of Database and Web Design systems.
  • Knowledge of appropriate and allowable costs related to various funding sources.
  • Knowledge of Proofreading and Editing techniques.

Skills
  • English composition, grammar, spelling and punctuation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access).

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $41,421. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
