General Description / Primary Purpose:

Reporting to the Director of the Graduate School, the Coordinator of Graduate Admissions is responsible for all graduate degree-seeking, and non-degree seeking applicants seeking admission at the University of North Florida. This position serves as the primary staff member responsible for ensuring that applicants complete and submit applications and subsequently matriculate. In addition, this position will provide support and guidance to applicants regarding admissions requirements and necessary documentation. This position will also be responsible for backend admissions processing integral to departmental operations including, but not limited to, data transfer into university CRMs, batch acquire analysis, and mass communication. Furthermore, this position will oversee all Graduate School financial aid, including graduate assistantship tuition waivers.

Job Function:

The day-to-day responsibilities of this position will consist of monitoring admissions applications. This will include contacting applicants with unsubmitted or incomplete applications, reviewing admissions documentation, managing backend processes to ensure to proper software integration, and serving as an admissions counselor to potential applicants. Specific tasks include the following:

  • Run queries to determine how many applicants need to be contacted regarding their applications.
  • Write, plan, and organize communication campaigns within the application software and university CRMs to encourage applicants to complete and submit their applications.
  • Connect applicants with Graduate Program Directors in their areas of interest.
  • Release admissions decisions made by Program Directors to applicants.
  • Assist admitted applicants with matriculation and the transition into Graduate School to promote graduate enrollment.
  • Contact applicants and potential applicants to answer questions regarding admissions, financial aid, and possible academic programs.
  • Scan and index admissions documentation.
  • Conduct regular systems audits to ensure that operations are proceeding as intended.
  • Provide guidance to Graduate Program Directors on issues concerning student enrollment, admissions requirements and application management.
  • Recommend policy changes that encourage student enrollment and matriculation.
  • Serve as an admissions advocate for applicants who need assistance navigating the admissions process.
  • Train new Graduate Program Directors on how to use the admissions software.
  • Other admissions and enrollment tasks as delegated by the Director of the Graduate School.

This position will be responsible for advising, awarding, and managing all Graduate School financial aid including graduate assistantship waivers. Specific tasks include the following:

  • Manage the annual awarding and disbursement of the Graduate School Grant.
  • Manage the annual awarding and disbursement of the Delores Auzenne Fellowship.
  • Manage the biannual awarding and disbursement of the Jim and Millie Milligan Family Foundation Presidential Fellowship to one student.
  • Manage the biannual awarding and disbursement of the Key Bradbury STEM Fellowship to one student.
  • Manage the regular awarding and disbursement of the Graduate School Research Grant.
  • Manage the awarding and disbursement of any newly acquired awards or scholarships.
  • Process graduate assistant tuition waivers and hiring paperwork every semester.

In addition to the duties listed above, this position will serve as a secondary budget manager which may include purchasing, allocating, and advising the Dean and Director on current budget standings. This position may also make decisions on residency declarations, give campus tours, and manage articulation agreements.

During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.

Required Qualifications:

A Master’s degree from a regionally accredited college or university in a directly related area of specialization; or a Bachelor’s degree from a regionally accredited college or university and two years of experience directly related to the job functions.

  • Knowledge of higher education and current issues surrounding enrollment and admissions.
  • Experience with Slate, Banner, and Workday preferred, but not required.
  • Experience with communication strategies preferred.
  • Experience in advising, admissions, enrollment services, student success, career services or related field.
  • Knowledge of Microsoft programs required, specifically Outlook, Word, PowerPoint and Teams.
  • Experience with Adobe programs preferred.

This position has been designated as a Campus Security Authority (CSA). This position has been designated as a CSA because it involves significant responsibility for student and campus activities and/or responsibility for campus security. As such, any person in this position must report to the University Police Department a crime or an incident that might be a crime that he/she becomes aware of. This position has a reporting requirement because the University believes that responsibility for students, campus activities and/or campus security will make the holder of this position someone members of the University community will see as an authority figure and someone to whom they can seek help. A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSA’s responsibility is a duty to report. All positions designated as CSAs are required to complete an online or in-person training session. The holder of this position is designated as a “Responsible Employee” pursuant to their role under Title IX.
