Reporting to the Executive Director, the Office Administrative Assistant (Technical Craft Specialist B) provides full support in a wide range of administrative activities, using independent judgment when applicable, on behalf of the Career Advanced Technology Center. This position prepares and processes a variety of forms and reports, meets and greets visitors, maintains the Executive Director and the Center’s calendar, monitors budget expenditures, and assists in the collection of data needed for departmental planning and decision-making, as well as provides customer service to students, faculty, staff and student applicants.

Specific Responsibilities:

  • Assists the Executive Director by handling administrative functions for the Office including screening and servicing visitors and telephone callers; scheduling meetings, appointments and conferences; coordinating internal and outgoing mail; and copying, faxing, scanning and filing.

  • Supports the Executive Director with various special projects and related tasks to ensure completion within established timelines.

  • Assists with the collection of information, data entry, reporting, and the organization of statistical information required to help the Executive Director with decision-making and strategic planning.

  • Monitors expenditures, processes budget documents, budget adjustments, and pays invoices in a timely manner.

  • Prepares, processes, and monitors a variety of forms, records, schedules, reports, and other documents.

  • Maintains and oversees office supplies by planning ahead for all supplies required for events and activities; preparing and executing purchase requisitions and supply orders as needed.

  • Maintains and updates the Center’s calendar, makes meeting/travel arrangements for the Executive Director, and drafts, copies and schedules presentations. coordinates presentations.
  • Works with current and potential credit and non-credit students to resolve basic issues related to the enrollment process, program supplies, CRM platforms, etc.

  • Maintains registered students and non-students in a customer relationship management platform.

  • Coordinates and supervises work study students for the Center.

  • Delivers quality customer service to internal and external constituents, in a professional, helpful and courteous manner.

  • Other duties as assigned.

Minimum Qualifications:

  • High School diploma or GED equivalent required.

  • Seven (7) years’ experience in an administrative support position required.

  • Strong organizational and time management skills required.

  • Demonstrated proficiency in Microsoft Office required.

  • Strong verbal and written communication skills required.

  • Ability to perform multiple tasks with changing priorities required.

  • Experience with large customer relationship management systems required such as Salesforce, Mongoose, Handshake required.

  • Problem-solving and critical thinking skills required.

  • Demonstrated excellence in customer service and professionalism to internal and external stakeholders (e.g. students, parents, faculty, employers) in person, via the telephone and email required.

  • Ability to use independent judgement and maintain confidentiality at all times required.

  • An understanding of, and sensitivity to, the diverse academic, socioeconomic, cultural, and ethnic backgrounds of community college staff and students required.

Preferred Qualifications:

  • Associates degree preferred. Any and all degrees must be from a regionally accredited institution.

  • Previous experience providing administrative support within higher education preferred.

  • Experience using the Ellucian Banner System preferred.
