Job Description Summary / TWC Summary:

Under general supervision, provides the Office of the Registrar with administrative support in enrollment management, record keeping of diplomas/degrees, maintaining student grades, providing enrollment and degree information to National Student Clearinghouse (NSC) process student enrollment change request, process academic transcripts and enrollment verification request, fulfill/generate all State and Federal Government required reporting responsibilities. Provides support to academic departments with Office of the Registrar inquires.

Essential Duties Summary:

  • Establishes file and record keeping system for the department. Creates, updates, revises and retrieves records and files.
  • Compiles, tabulates, and summarizes data from a variety of sources.
  • Reviews documents to determine acceptability, accuracy and completeness of information. Corrects errors.
  • Processes transcript requests.
  • Inputs data in computer system. Composes documents or prepares reports. Develops charts, graphs and tables of information.
  • Processes enrollment, degree, and withdrawal reports for reporting to the State and Federal Governments (National Student Clearinghouse).
  • Processes drops, adds, withdrawals, major/minor concentration changes at the student’s requests.
  • Process and complete enrollment verification request.
  • Operates photocopiers, fax machines, and other standard office equipment.
  • Codes information from source documents by applying established, clearly defined codes.
  • Sorts and distributes mail. Prepares mail outs.
  • Prepares and proofreads documents. May determine format of document.
  • Responds to inquiries regarding routine procedures and policies to visitors, staff members, or students by telephone or in person.
  • Assists front office receptionist with in-person inquiries.
  • Performs other job-related duties as assigned.

Hiring Range:

$15.8960 - $19.0745

Education:

High school diploma or general equivalency education.

Required Licensing/Certification:

Valid Texas Driver’s license preferred.

Knowledge of:

  • Procedures and practices.
  • Job function, family or professional discipline to handle, as necessary, the analysis and/or procedural modifications associated with non-standard work or situations; and as applicable, provides guidance and technical leadership to others in area of expertise.
