JOB DESCRIPTION SUMMARY

The Information Technology Services division at Florida Poly is looking for an ambitious and energetic IT Documentation & Training Specialist to join our Solutions Delivery team.

The IT Documentation & Training Specialist is responsible for designing and creating documentation and other knowledge artifacts that assist clients in making optimal use of the University’s IT infrastructure, systems, and tools. These products include knowledge base articles, service catalog articles, and specialized documentation such as content for instruction manuals, content for communication and information campaigns, and content for ITS web pages. A second major responsibility of the Specialist is to design and help deliver training sessions and workshops in support of strategic technology initiatives.

In these activities, the Specialist works closely with service managers, project managers, business analysts, and help desk staff in understanding and fulfilling priority documentation and training needs. The Specialist is a member of the Solutions Delivery Team in ITS, which focuses on delivering IT-enabled solutions to University departments and processes. The Specialist uses writing and training expertise and experience in developing reference and instruction materials to deliver superbly designed content and training that enhances clients’ ability to productively use and understand information systems and tools in their work at the University.

JOB DESCRIPTION

RESPONSIBILITIES:

  • Design and produce content including documentation, knowledge base articles, service catalog content, website content, and information campaigns focused on IT products and services.
  • Write user-friendly content that meets the needs of a broad audience (employees and students) and yet conforms to ITS standards; this content should include insightful language that enables end-users' success in using IT infrastructure, tools, systems, and other resources provided by our university.
  • Develop training materials for university staff in focused areas, leading to wider acceptance/adoption and more productive use of IT tools and services.
  • Deliver both face-to-face (including virtual) and on-demand training/instruction materials.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Proven ability to design and develop learning content in various media formats and face-to-face training, which lead to successful learning retention.
  • Ability to understand IT system and tool features, learn how they work, and document them in a crisp, easy-to-follow training guide.
  • Strong attention to detail.
  • Proven ability to handle multiple projects simultaneously, with the keen ability to prioritize appropriately.

MINIMUM QUALIFICATIONS:

  • Associate degree in English, communications, journalism, or a closely related field; two years of technical writing experience or experience in a similar role; or equivalent combination of education and experience.
  • Experience in creating and maintaining various types of training (i.e., instructor-led classroom or webinars).

PREFERRED QUALIFICATIONS:

  • Bachelor's degree in English, communications, journalism, or a closely related field.
  • Three to five years of technical writing experience, preferably in higher education.

REQUIRED LICENSES, CERTIFICATIONS, AND/OR OTHER SPECIFIC REQUIREMENTS OF LAW:

  • Must possess a valid driver’s license.
  • This position requires a criminal background check, which may include a Level II screening as required by Florida Statute §435.04.
  • This position is subject to federal and state privacy regulations.

NORMAL WORK SCHEDULE:

  • This position is a full-time, non-exempt, fixed-term position, and the normal work schedule is Monday – Friday, 8:00 a.m.-5:00 p.m.; however, occasional overtime (weekends and evenings) may be required.
  • This position is offered as a full-time (40 hours per week) opportunity; however, candidates who are interested in part-time work are welcome to apply. A work schedule of a least 30 hours per week (.75 FTE) is required to receive benefits.
  • Travel between campus locations may be required. This position is eligible for a hybrid work schedule.
