JOB SUMMARY

The University of Connecticut School of Social Work seeks qualified applicants for a Webinar Assistant (Educational Program Assistant 2) position to support the Innovations Institute. The Innovations Institute at the UConn School of Social Work builds research-based, inclusive, culturally-responsive, and transformative child-, youth-and family-serving systems and services, and develops the capacity of the workforce within these systems. Under general supervision, the Webinar Assistant is primarily responsible for the facilitation of webinars via online virtual platforms, such as Zoom, WebEx, Adobe Connect, Skype for Business, and Microsoft Teams, to support subject matter experts in the delivery of presentations and training. This position is responsible for managing assigned webinars, virtual trainings, virtual meetings, and virtual conferences; coordination of the webinar schedule and scheduling assignments to include sending out webinar appointments and links to presenters, participants, etc.; conducting rehearsals; working with internal staff around the dissemination of the webinars, scheduling, set up, monitoring, recording, and assisting with design and use of interactive learning tools; and providing data on webinars for monthly reporting.

Positions with Innovations Institute are fully remote with expected travel to UConn’s Hartford Campus twice annually. This position may work variable hours on occasion to host and support live webinars and virtual conferences, learning management system updates, and HelpDesk requests. This position also manages the universal calendar and familiarity or experience with video editing is preferred.

DUTIES AND RESPONSIBILITIES

  • Schedules and coordinates the production process for webinars, virtual trainings, virtual meetings, and virtual conferences including interfacing with experts, coordinating with internal staff, and insuring a detailed production schedule. Assists in the planning and implementation of new or revised online learning facilitation programs, procedures, practices, and organization.
  • Maintains the webinar calendar, forms, web-based submission processes, presentations, handouts, and other documents related to the webinar production process. Assists in the preparation of final reports, promotional materials, recommendations, and other information resources for the improvement of online learning facilitation.
  • Conducts virtual rehearsals with presenters and provides guidance for the presentation of content and use of available webinar presentation tools.
  • Reviews all training materials to insure they are 508 compliant and that they render correctly on the various virtual platforms.
  • Establishes effective communication channels and acts as a liaison between the program and officials within and outside the institution.
  • Emails webinar links and reminders to panelists and participants and uploads content and ensures the functionality of the platform.
  • Runs virtual meetings and webinars using various virtual meeting/training platforms including but not limited to: Zoom, WebEx, Adobe Connect, Skype for Business, and Teams. This includes meeting/webinar setup, coordination of polls and other interactive elements during the meeting/webinar, and the closeout process (saving recordings, chat logs, and sign-in reports).
  • Conducts basic efficiency, time, and cost studies, and analyses of work processes and systems. Prepares simple statistical tables and charts, staffing patterns, and workflow.
  • Assists in or conducts studies and analyses of programs, organizations, procedures, or systems of limited scope and/or assists senior staff in more complex projects.
  • Supports HelpDesk on an “as needed” basis.
  • Performs related duties as required.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in a related field.
  • Two to three years of related experience, including webinar facilitation/hosting and providing technological support.
  • At least one year of experience using virtual meeting and webinar applications that include Zoom, WebEx, Adobe Connect, Skype for Business, and Microsoft Teams.
  • Knowledge of Section 508 of the Rehabilitation Act of 1973 (29 U.S.C. 749d) and Website Content Accessibility Guidelines (WCAG) 2.0 for accessibility tools for virtual meeting/training applications and training documents.
  • Willingness and ability to work weekend and evening hours as needed.
  • PREFERRED QUALIFICATIONS

    • Video and audio editing experience using Adobe Premiere Rush, Premiere Pro, Filmora, or other editing software.
    • Strong communication and organization skills.

    This is a full-time, end-dated position with the possibility of renewal subject to performance and funding. Positions with Innovations Institute are fully remote with expected travel to UConn’s Hartford Campus twice annually.
