Job Description:

The Residency Coordinator provides administrative support to the Res/Fellowship Program Coordinator II, Assistant Director of Education Administration, chief residents, residents, and fellows. Additionally, the Residency Coordinator will interact with faculty, residents, fellows, medical students, and institutional and regulatory administrative offices as directed by the Res/Fellowship Program Coordinator II.

The duties are as follows:

Assists in resident rotation scheduling by collecting and entering resident requests into the scheduling template to create resident rotation schedules, call schedules, vacation/leave schedules, and meeting schedules. Builds block schedule and assists in managing daily scheduling by entering schedules into New Innovations and electronic scheduling system. Distributes schedule changes to other departments as necessary.

Plans and prepares Anesthesiology Basic Skills Bootcamp, Intern Education Month, Academic Days/Sessions, Mock Orals, and Objective Structured Clinical Examinations (OSCEs). Reserves venues including the Simulation Lab and conference rooms, recruits and manages resident and faculty participants, prepares and sends notifications, updates scripts and scenarios, and provides overall support to ensure events run well. Provides follow-up to events including sending participants feedback.

Tracks graduation requirements including quality improvement and academic projects, ensuring projects are uploaded before meetings, travel authorizations are completed, and leave is approved and accurately recorded. Provides status reports to ensure learners stay on track toward graduation. Creates and distributes project-related checklists in New Innovations. Interacts with APIC Committee.

Provides administrative support for data entry in Accreditation Council for Graduate Medical Education (ACGME), American Board of Anesthesiology (ABA), and other program sites. Supports office events including graduation, orientation, and recruitment.

Schedules and attends Clinical Competency Committee, Program Evaluation Committee, and other committee meetings and maintains accurate minutes. Prepares notices, maintaining confidentiality in all topics covered. Proctors resident In-Training Examination and Anesthesia Knowledge Test. Serves as the primary backup for didactic scheduling including hosting events in person and virtually, as needed.

Assists administratively with all Anesthesiology Education Office (AEO) programs; serves as backup for other program coordinators and AEO staff however needed and assigned to achieve the goals of the AEO, department, and university.

Expected Salary:

$42,000 - $55,000; commensurate with education and experience.

Minimum Requirements:

Bachelor's degree and two years of relevant experience; or an equivalent combination of education and relevant experience.

  • Understanding of Electronic Residency Application Service (ERAS) software and applications.
  • Ability to organize, schedule, and prioritize work for self and others to meet deadlines.
