Job Description Summary

The Wharton San Francisco Temporary Administrative Assistant (Non-Exempt) will function as the receptionist/security person for the campus facility in San Francisco providing front desk coverage for special events, PTO/Sick time coverage, and for the additional WEMBA class on campus for summer 2022 term. This person will be the first point of contact as people arrive on the campus and on the phone. This person must be able to multi-task and function at a high level to support the various constituents who visit the campus - faculty, staff, students, executive visitors/speaker, Executive education participants, alumni and corporate partners, as well as vendors and contractors who may enter the campus. This person will maintain and track security access lists, interface with building management and the leadership team at Wharton, function as a first point of contact for routing of any and all questions/issues and provide primary support to the Open Space program for alumni and students.
Job Description

This person must be able to multi-task and function at a high level to support the various constituents who visit the campus - faculty, staff, students, executive visitors/speaker, Executive education participants, alumni and corporate partners, as well as vendors and contractors who may enter the campus. This person will maintain and track security access lists, interface with building management and the leadership team at Wharton, act as a first point of contact for routing of any and all questions/issues and provide primary support to the Open Space program for alumni and students.
Additionally, the successful candidate will have strong organizational, interpersonal, and administrative support skills including the ability to support seasonal admissions activities, special events, and consistently assessing and reporting on the physical state of the campus to the Associate Director and the rest of the Ops team. This person will be tasked with checking people in, monitoring the camera/security system, data entry, photocopying, mail distribution, and support various departments on campus.
The schedule is variable usually 20 hours a week, including weekends and evenings. The schedule is subject to change based on facility schedule, and coverage needs. During initial training the hours will be during the day shift, but the role will transition to working independently.
