Position Summary:

The Employment Specialist’s primary job function is to assist with the coordination of recruitment, selection, hiring, onboarding and orientation. The Employment Specialist reports to the Assistant Director of Human Resources, collaborates with hiring managers and supervisors in their recruiting activities, working closely with key stakeholders and vendors.

Description of Key Responsibilities:

1. Coordinate the hiring process with hiring managers or designee to ensure the timely processing of job descriptions, job postings, search materials, applications, and other related documentation.
2. Assist staff and faculty with job posting and advertisement processes.
3. Collaborate with the hiring manager and/or other human resource staff during the offer process, identifying and recommending salary ranges, incentives, start dates, and other pertinent details.
4. Provide administrative assistance to the Assistant Director of Human Resources with the recruitment cycle, onboarding, including but not completion of background check, reference checks, new employee documentation, and orientation schedule for all new or transferring employees in accordance with College policy.
5. Administrative duties that include assistance with the development and delivery of recruitment-specific training programs for hiring managers and search committees.
6. Assist with data entry of new employee information and creation of personnel files as necessary.
7. Other related duties as assigned.

Required Knowledge, Skills and Abilities:

1. Excellent interpersonal skills.
2. Excellent written and verbal communication skills.
3. Strong understanding of human resources and business processes.
4. Proactive and independent with the ability to take initiative.
5. Proficient with or the ability to quickly learn applicant-tracking software or other recruitment systems, HRIS and intranet websites.
6. Excellent time management skills with a proven ability to meet deadlines.
7. Ability to problem-solve and assimilate new information and techniques quickly.
8. Proactive and independent with the ability to take initiative.

Distinguishing Characteristics:

The Employment Specialist works closely with Assistant Director of Human Resources, key stakeholders and vendors. The person in this role must have the knowledge, skills and ability to assist with full cycle recruiting, including sourcing, interviewing, securing references, extending the offer, onboarding, offboarding and has strong communication with hiring managers and applicants. The person in this role has the ability to collaborate effectively with diverse constituencies. Previous experience working with applicant tracking systems, human resource information systems and intranet websites.

This role is of a personal and confidential nature. It is essential to have the ability to maintain confidential and sensitive information, exercise discretion in all matters, adhere precisely to legally required constraints and follow specific College policies regarding release of information.

Education/Training:

Bachelor’s degree in a business-related field or equivalent experience required.

Experience:

Minimum of one (1) year recruitment experience.
