Senior Assistant, Academic Affairs


Description

Seeking an individual to work in a highly independent and dynamic environment. Must be able to juggle multiple priorities. The primary focus of the work includes developing and sharing a weekly Dean of the Faculty digest, events planning, welcoming new faculty, external reviews, overseeing the use of Interfolio by departmental coordinators, and the production of the Department Chairs/Departmental Coordinators handbook. This individual works collaboratively with Residential Life staff on academic components of orientation, including the Academic Forum and Placement Exams.

This is considered a full-time, hourly, benefits eligible position. The hiring range for the position is $22.15 - $27.65 per hour.


Core Responsibilities:

• Oversees the use of Interfolio by departmental coordinators during faculty recruiting, including providing trainings, assisting with Interfolio posting, and running reports for the Chief Diversity Officer and the Vice President for Academic Affairs.
• In collaboration with Residential Life staff, coordinates departmental participation in Academic Forum at the start of each semester. In collaboration with academic departments and Residential Life staff, coordinates Placement Exam offerings during orientation.
• Assists the VPAA and Dean of Curriculum with preparation for Board of Trustees meetings. Manages planning and logistics and prepares all materials for 2-4 department/program external reviews per year.
• Coordinates and makes arrangements for the Carol Rifelj Faculty Lecture Series and other special events sponsored by the academic administration, including (but not limited to): the Perkins Award Ceremony, van de Velde lecture, Grant Recipients' Reception, Faculty/Staff Articles Reception, Faculty Authors' Reception, and Inaugural Lectures, Fall Faculty Forum, and some Critical Conversations.
• Supervises the preparation of the annual Chairs' Handbook, distributing sections to update, confirming dates of particular events in the chairs' calendar, and compiling the final copy. Provides support for the chair and program director appointments
• Coordinates and makes arrangements for new faculty events, including summer mailings, new faculty orientation, the mentoring program, and the New Faculty Winter Term Seminar. Supervises the preparation of the New Faculty Handbook on the Web.

Requirements
Position Prerequisites:

• Associate's Degree or equivalent office management experience required.
• 3-5 years previous experience with administrative/secretarial tasks required, preferably in an academic setting. Strong experience in Microsoft Office, Excel, Outlook, and FileMaker Pro is required.
• Requires strong writing, management, organizational, and communication skills.
• Ability to maintain good rapport with faculty, staff, and students required.
• Must be detail-oriented, be able to handle confidential information with discretion, and work well under pressure with frequent interruptions.
• Must be open to learning new software programs and platforms
• Must have the ability to work independently (with limited supervision), juggle and prioritize essential tasks
• Knowledge of Banner database, and Hyperion reporting helpful.

Physical Demands:

Must be able to sit at a computer for long periods of time, and complete errands across campus. Must be able to climb stairs.
