Job Description Summary
This position performs administrative support duties for the Emergency Medical Services Department. Duties require knowledge of College operating procedures, information systems, and frequent communication with the Emergency Medical Services Section of the Wisconsin Department of Health Services, Program accreditation, department instructors, Adjuncts, Aides and customers.

Work Schedule: Monday through Friday; 8:00AM - 4:30PM

Job Description
ESSENTIAL JOB FUNCTIONS
  • Receive visitors, answer telephone calls, dispense class information, make appointments, maintain files, and make meeting arrangements.
  • Manage EMS@fvtc.edu mailbox.
  • Maintain current and accurate records in the Department of Health Service - EMS Section licensure database: E-Licensing. This includes obtaining course approval numbers, and maintaining course and student records.
  • Assisting and supporting the Training Center training permit process.
  • Generate course completion certificates for EMS classes.
  • Monitor reports for missing grades, class course errors, unknown instructors, and zero enrollments.
  • Receive requests for training, schedule courses, generate class sections, and maintain department training schedule.
  • Manage Aladtec (EMS Manager) for classes and assist with maintaining records for instructor credentials.
  • Prepare purchase requisitions for EMS.
  • Facilitate billing authorizations between service organizations and third-party billing.
  • Prepare letters, forms, meeting minutes, tests, brochures, and student evaluation of instructors.
  • Maintain filing system for EMS courses as required by the WTCS, DHS and Program accreditation.
  • Follow EMS department specific policies and procedures to be compliant with Program accreditation standards (CoAEMSP).
  • Coordinate and work with Advisory committee members to set up meetings, take minutes, distribute minutes, and agendas.
  • Assist with organization and set up for National Registry Licensure exams and specialty classes (GEMS, PEPP, EVOC BTLS, ITLS).
  • Purchase and coordinate the inventory of program related supplies.
  • Provide support to EMS program faculty, Adjunct and related EMS Staff as requested.


SECONDARY JOB FUNCTIONS
  • As part of the Viewpoint process - assist instructors in helping their students obtain their training permits.
  • Assist customers in scheduling classes.
  • Purchase and manage the inventory of program related supplies.
  • Manage NREMT paperwork process in the WI E-Learning System.
  • Provide back up support to American Heart Association Training Center Coordinator position when requested and/or needed.
  • Complete other duties as assigned.


QUALIFICATIONS, TRAINING, AND EXPERIENCE
  • Associate Degree in Administrative Assistant or related area, AND
  • Two years recent, related work experience, OR
  • An equivalent combination of related education, training, and experience.
  • Previous background/experience working with American Heart Association/DHS programs is preferred.
  • Intermediate skills in Microsoft Word, Excel, PowerPoint, Access, Adobe Acrobat Pro. and Web-page Development.
  • Valid Wisconsin Driver's license.
  • Subject to FVTC's Motor Vehicle Records Check.

Additional Information

Starting pay: $20.49 per hour.

Note: Internal applicants' wage will be based upon the applicable compensation structure.
