The Office of Transformation Initiatives at JCSU is part of the Office of the President and provides leadership and management in the development and execution of a comprehensive institutional transformation agenda as outlined in the JCSU Gold(en) Blueprint. The Office of Transformation Initiatives spearheads the analysis and coordination of several cross-functional transformation initiatives (i.e., academic, operational, financial, etc.) as well as readiness activities, and serves as a catalyst for organizational change—linking strategy to structure, building transformational change approaches, and facilitating complex organizational changes to position the university for future success.

Position Summary:

Under supervision of the Senior Vice President for Transformation Initiatives (SVPTI), the Assistant to the Senior Vice President for Transformation Initiatives provides high-level support and coordination to the Office of the Senior Vice President for Transformation Initiatives. The incumbent is a creative, independent problem-solver who is proactive, adaptable, and observant. The Assistant demonstrates sound judgement, discretion and close attention to detail, as well as the ability to multi-task under pressure. The Assistant performs a variety of routine to moderately complex clerical and administrative tasks in support of the activities of the Office of the Senior Vice President for Transformation Initiatives. The incumbent also provides professional customer and public service.

The Assistant to the Senior Vice President for Transformation Initiatives will be responsible for:

· Coordinating high-level executive meetings and convenings.

· Providing administrative support for other team members of the Office for Transformation Initiatives.

· Actively prioritizing support for multiple projects according to importance and deadlines.

· Providing administrative and programmatic support to the Senior Vice President for Transformation Initiatives with a particular focus on supporting the day-to-day activities of the SVPTI;

· Building authentic rapport with Office for Transformation Initiatives’ teammates, and the JCSU community.

Responsibilities:

-Provides professional-level staff support for the Senior Vice President for Transformation Initiatives and Support Team for the office of Transformation Initiatives. 

· Serves as the primary staff member responsible for a variety of secretarial and administrative tasks in support of the Senior Vice President for Transformation Initiatives. Office including, but not limited to processing daily mail, updating files and documents, ordering and inventorying of supplies, maintaining records, compiling data, researching information, scheduling meetings and maintaining calendars, copying and filing documents, assembling materials, faxing information, etc.

· Anticipates the needs of the Senior Vice President for Transformation Initiatives and the Support Team for the office of Transformation Initiatives to have the necessary materials and information for meetings and events.

· Assists with scheduling meetings and maintaining calendars; fields request for appointments and meetings.

· Assists with travel arrangements for the Senior Vice President for Transformation Initiatives and others as directed.

· Receives, reviews, processes, types, composes and/or submits a variety of documents, including routine correspondence, requisitions, reports, etc.

· Receives and responds to internal and external requests for information, assistance, and complaints.

· Provides in-depth analysis and detailed reports on administrative projects.

· Conducts research using internet and subscription tools.

Additional Job Functions:

· Interacts and communicates with the President, Board of Trustees, and employees, co-workers, vendors, corporations, government agencies, external stakeholders, and the public, as necessary.

· Perform other job duties as assigned.

Requirements/Qualifications:

JCSU is seeking a high performer with:

· A Bachelor’s degree.

· At least 3 years of relevant experience.

· Ability to use current computer technology, including proficiency in Microsoft Word, Excel, and PowerPoint.

· Superior organizational skills, verbal and written communication skills, attention to detail.

· Confidentiality and discretion are a must.

· Must have a professional attitude, and exhibit considerable tact, persuasion, and judgment in interactions with internal and external constituents.

· Highly motivated, professional team player with courteous interpersonal skills and an excellent customer service attitude.

· Capacity to perform in an intellectually rigorous and complex academic environment.

· Ability to apply sound judgment in all situations is required.

· Demonstrated ability to work successfully with high-level executives.

· Ability to make independent decisions and work independently

· Ability to handle crises and perform well under pressure.

· Position requires flexibility to work some evenings, when needed.
