Position Description

The Meeting & Courses department at Cold Spring Harbor Laboratory is seeking an Associate Registrar to handle administration for designated science based residential courses on the main campus and at the Banbury Conference Center to ensure the seamless planning and coordination of these courses and workshops. This position will interact with all levels of staff within the department, along with visiting instructors, visiting faculty and students.

Position Responsibilities

 

  • Coordinates and administer courses and workshops in liaison with other M&C program staff including the associate registrar, meetings staff, housing coordinator, scientific operations, audiovisual and with other departments, particularly facilities and food & beverage services; ability to work cooperatively with others to support a complex academic program is considered essential
  • Maintains solid relationships and timely communications with assigned course instructors, faculty and students.
  • Manage applications and student notifications including acceptance decisions, financial aid, visa letters etc
  • Collect tuition fees for assigned courses in collaboration with M&C Grants/Finance
  • Coordinate administrative aspects of assigned courses and workshops, including arrival/departure, introductory orientation, lab visits, special events/visits 
  • Prepares course reports in timely manner, for use by M&C Grants/Finance and the Annual Report.
  • Coordinates and proof promotional materials related to assigned courses.
  • Update course websites and calendars (both internal and external web) 
  • Prepare course packets, post-course evaluations, certificates and other course materials, as needed.
  • Collect and review faculty expense reimbursement reports for processing by Grants/Finance
  • Summarize immediate impact through student evaluation survey.
  • Develop and build on long-term tracking of students

    Miscellaneous:
  • Assist meetings staff with meetings and events (onsite registration and execution), as needed.
  • Partake in additional special projects assigned by the Executive Director. 
  • Adapt to demanding situations, changing procedures, and methods or processes.

 

Position Requirements

EDUCATION: Bachelor’s Degree preferably in an area of Higher Education
EXPERIENCE:  1+ years total professional administrative experience within life sciences academic environment
SKILLS: 

  • Excellent written and verbal skills required as well as demonstrated customer service skills.
  • Excellent organizational skills, with the ability to prioritize tasks and manage many tasks simultaneously.
  • Ability to work independently
  • Must be proficient in Microsoft Office, Outlook and willing to learn customized client database
  • Strong analytical and problem-solving skills
  • Ability to work calmly and effectively in stressful situations. 
  • OTHER: Ability to work overtime for arrival days and to attend meeting and course events as needed; limited travel but flexibility needed.
