Position Summary

The SBDC Administrative Assistant is a key role in the organization as first point of contact with clients as well as internal support to Small Business Development Center (SBDC) staff members. The primary functions of the role are coordination of SBDC events, client screening and onboarding, and commitment to the achievement of the overall goals of the SBDC, Arizona Small Business Development Center (AZSBDC), and the Coconino Community College (CCC) partnership. Funding for this position is through December 15, 2024.

The position is a part-time, 20 hours/week and will be based at a Coconino Community College campus in Page or Flagstaff. This position is eligible to participate in the Arizona State Retirement System plan.

Essential Duties and Responsibilities

Customer Service

  • Facilitate timely screening and onboarding of new clients.
  • Adherence to the confidentiality standards for each client as set by AZSBDC.
  • Connecting with clients as assigned by the Center Director.
  • Engaging in positive client interactions (in person, phone, email, social media, or similar).
  • Center Operations

  • Support the Center Director in completing SBDC Reports.
  • Purchase center and event supplies as assigned by Center Director
  • Collaboration and compliance with AZSBDC in regards to marketing and other activities.
  • Assist in coordinating SBDC hosted events as assigned by the Center Director

  • Solicit speakers for events based on previous partnerships and community outreach.
  • Communicate with speakers to prepare for event.
  • Conduct event marketing efforts, ensuring the efforts align with AZSBDC procedures.
  • Manage the organizational process for events and ensuring the event runs smoothly.
  • Manage the registration process for the event to gather optimal attendance.
  • Social Media

  • Manage the social media promotion, including daily posts, overall management, and social engagement of the center as directed by the Center Director.
  • Follow up with comments, messages, and questions on social media.
  • Performs other duties of a similar complexity as assigned by the Center Director.

    Knowledge, Skills and Abilities

    Knowledge and skill in the use of word processing, spreadsheet, database, desktop publishing program, and social media marketing tools such as Facebook, Twitter, YouTube, LinkedIn, and others. Applicant must have skill in customer service, organization, handling multiple tasks simultaneously, using phones, and in effective business and interpersonal communication; ability to work independently; ability to work with limited supervision, make decisions independently, and act as a self-starter; ability to work in a multicultural collegial environment.

    Minimum Qualifications

    High School Diploma/GED and 0-2 years experience or equivalent to successfully perform the essential duties of the job and/or as approved by Human Resources.

    Preferred Qualifications

    Experience with Customer Relationship Management (CRM) software, and/or any other database system, social media marketing tools, experience using Microsoft Office software (including Microsoft Outlook), experience managing multi-person scheduling, and general administrative experience. Bilingual a plus.
