Administrative Coordinator-Microbiology

Regular, Full Time, Market Range 06

This position will support general project coordination needs for the NIH T32 Integrated Membrane Program (IMP). The position will report to the IMP principal investigator, Todd Reynolds. Working with the IMP leadership team, this individual will provide administrative support for all program activities, which will cross seven departments and four colleges.



Qualifications
Job Functions/Responsibilities:

  • Program coordination. Serves as the first point of contact for the IMP leadership team, IMP program faculty, and current and potential IMP students. Works closely with the leadership team to coordinate and implement an annual program cadence that spans recruitment, nomination, admission, training progress, and post-graduation. Coordinates recurring leadership team and advisory committee meetings. Coordinates student events, including annual symposium and other professional development activities (e.g., confirming dates, advertising events, booking rooms, arranging meals, organizing speakers and poster presenters).
  • Student data tracking. This NIH-funded program will apply for continued funding at the end of the initial award period. In order to make the case to NIH that OMP has made good use if its funding, the project must report on student data. The position will track significant amounts data for IMP students (e.g., publication record, time to graduation, post-graduate employment) needed to show student outcomes and justify continues investment from NIH.
  • Program communication and dissemination. Responsible for maintaining outward-facing pathways to disseminate information about IMP to current and potential IMP students, faculty, and other interested parties. For example, managing website content (e.g., general information about the program, application instructions, IMP curricular innovations, publications, and presentations), social media outreach, and printed materials.
  • Other duties assigned.
MINIMUM REQUIREMENTS:

Education:

  • Bachelor’s degree in Natural or physical sciences field preferred.
Required level/type of experience:

  • Minimum of two (2) years of relevant experience.
Preferred knowledge, skills, and abilities:

    Experience working with students and faculty in an academic environment;Experience managing social media communications.
Competencies/Qualifications:

    Excellent attention to detail;Excellent organizational skills;Strong oral and written communication skills;Ability to diligently follow up with many individuals and offices to collect required information;Ability to prioritize and manage multiple tasks in order to meet internal and external deadlines;Ability to build and maintain respectful work relationships across diverse workforce at all levels;Ability to work both independently and also as a contributing member of a team;Excellent compute skills including email, calendars, word processing, shared file management, and careful data management using spreadsheets;Proficiency in Microsoft Outlook, Word, Excel, and ability to quickly learn new software programs.
