Position Summary:

This position provides operational assistance to the Workforce Development and Community Education Department – Workforce Professions, and assists in the development and implementation of vocational, customized and personal interest training programs. Additionally, the Specialist ensures safety and operations of facility; provides expertise and assistance in administrative support; assists with collaborative planning with an emphasis on supporting department deliverables; and serves as a liaison to the constituents served.

Reporting and Supervisory Relationships:

Direct reporting relationship to the Manager, Workforce and Community Partnerships – Workforce Professions. Supports the Executive Director of Workforce Development and Community Education; and, team with carrying out the mission of the college and department.

Essential Responsibilities:

1. Assists in maintaining the delivery of quality programs for the department, and the daily operations of the Workforce Professions Center such as scheduling, filing, answering phones, accounts payable/receivable document preparation, customer billing, updating databases, upkeep and/or preparation of rental contracts, and coordinating and ordering supplies and services.

2. Demonstrates high-level customer service through interaction with constituents served.

3. Provides accurate reporting and data entry in accordance with accreditation and college operations.

4. Helps update and maintain outreach databases to assist in marketing programs to area industry/businesses and community members.

5. Participates in department meetings and staff development opportunities, as assigned.

6. Skilled in community outreach and establishing and maintaining effective working relationships with college staff, faculty, students, community members and partners.

7. Provides administrative assistance with operations of classes and programs. Creates and maintains paperwork such as client agreements, instructor agreements, registrations, sponsored programs, sign-in sheets and distribution and compilation of evaluations.

8. Provides assistance in room set-up and facility arrangements including moving furniture.

9. Analyzes situations accurately and adopts an effective course of action.

10. Provides data entry into the college information management system(s)for courses and training, and their required maintenance.

11. Supports the coordination of course schedules and maintains the department master calendar.

12. Maintains accurate records of all customized and training programs including billing information and grant administration.

13. Maintains and orders office supplies and training materials and assists with the coordination of office operations.

14. Partners with department to provide on-site and off-site marketing and registration assistance for program and training offerings.

15. Works confidentially with discretion while adhering to college standards and policies.

16. Ensures safety and operations of the facility including opening and closing facilities.

17. Provides assistance and information concerning non-credit programs, services, and overall college offerings to students, parents, staff, and community agencies.

18. Composes documents, reports, and other correspondence to support the department and college.
19. Supports the Executive Director of Workforce Development and Community Education with achieving the department’s mission.

20. Accurately maintains all records required by the college and Illinois Community College Board (ICCB) and Industry Governing Bodies as it pertains to courses and students.

21. Provides administrative budget support and processes related payments to ensure the programs operate at a cost-recovery level.

22.Maintain on-time attendance and schedule adherence.

23. Maintain a positive, team player attitude and support a commitment of service excellence.

24. Maintain service levels and productivity with efficiency, accuracy, and quality.
25. Performs other duties as assigned within the scope of the department and is consistent with the role of the position.

Working Conditions/Physical Requirements:

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects. This position requires flexible scheduling, including evening and weekend hours.

Minimum Qualifications:

1. Associate’s degree
2. Strong written, oral, and interpersonal skills.

3. Proven desk and time management with multi-tasking and prioritizing; team player.

4. Proficient computer skills along with Microsoft Office and Google Suite.

5. Effective decision-making and analytical skills.

6. Ability to work independently using effective public relations skills with little direction.

7. Three years of job related experience

8. Strong organizational skills, detail-oriented, and the ability to multitask and support and track a variety of projects simultaneously.

9. Compassion, empathy, and professional attitude while interacting with community members and customers.

10. Experience working in a diverse, multicultural environment.

Preferred Qualifications:

1. Bachelor’s degree.2. Five years related experience3. Bilingual.4. Experience working at an educational institution.

Anticipated Work Hours and Days:

This position requires flexible scheduling, including evening and weekend hours.. Standard hours for this position include Monday- Friday 8:00 a.m.-4:30 p.m.
