Description:

Reporting to the Director, School of Medicine (SOM) Financial Affairs, the Budget Analyst provides operational support and coordination for the Office of Financial Affairs. The Budget Analyst facilitates and tracks daily budget activity within and across departments, works closely with each department head to assess, on a quarterly basis, fiscal position with respect to annual budget allocation, drafts reports and analyzes financial needs under the direction of the Director. This position requires the use of independent judgment in planning, the ability to prioritize a diversified workload, and discretion in regular communications with individuals at the medical school, Hofstra University, and Northwell Health. This position offers the opportunity for a hybrid work schedule.

Responsibilities include, but are not limited to:

  • Initiates, submits, and tracks purchase orders, supply orders, and campus dining orders and payments in collaboration with the University’s purchasing department and with adherence to guidelines and established procedures for requisitioning, purchasing, reviewing and payment of goods and services.
  • Tracks expense data and past expenditures, analyzes financial needs, and works in collaboration with the financial affairs team to maintain an automated budget system.
  • Oversees all inquiries related to catering orders, supply orders, purchasing of promotion items and processing of check requests in a manner that verifies budget sufficiency and proper charge coding.
  • Assists with developing procedures and guidelines related to budget monitoring and explains policies and procedures when necessary.
  • Works closely with the events team to budget, provide event estimates, and generate invoices and contract documentation for special events and special projects.
  • Assists with reviewing documentation and compiling contract packages for approval.
  • Works closely with departmental leads to help track their budgets and prepares monthly budget reports for department review.
  • Assists the Director with the preparation and tracking of inter-institutional fund and budget transfers.
  • Compiles data for AAMC, LCME and other regulatory entities for the completion of surveys and routine, ad hoc electronic financial reports, as needed.
  • Follows up with departments on incomplete packages for check requests, contracts, invoices, and purchase orders.
  • Schedules and coordinates support for regular meetings with departments related to budgetary matters and prepares and compiles materials for meetings as needed.
  • Performs special projects assigned by supervisor and assists with office administrative duties as required.

Qualifications:

  • Bachelor’s degree in accounting, finance, or related field required.
  • Capacity to approach new challenges with thoughtfulness, creativity, and flexibility.
  • Knowledge of accounting principles and their application to budget and accounting problems.
  • Ability to exercise mature, independent judgment to maintain efficiency and accuracy while demonstrating exceptional collaborative skills.
  • Strong organizational skills to effectively manage high volumes of paperwork.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Knowledge of automated financial systems (preferably Ellucian Banner).
  • Work experience in accounting and/or budgeting.
