Job Summary This position is responsible for assisting in the processing and administrative duties of the Purchasing department.

Responsibilities
    Processes purchases (40%)Places Purchasing Card (P-Card) orders; gets approvals, gathers order information; and places orders.Processes purchase orders; gets quotes and approvals, if needed.Sends purchasing information to vendors, receiving, and end-users.Scans orders and sends to vendors, receiving, and end-users.

    Performs administrative tasks for the department. (25%)Receives and sends general email correspondence; receives purchase requests, inquiries, invoices, and shipping notices.Follows up with vendors regarding backorders and late shipments.Answers phone and assists callers.Retrieves and processes mail. Files purchase orders, phone bills, contracts, and vendor information.

    Assists in managing P-Card organization. (15%)Reviews P-Card summaries each month to ensure all required information has been included and procedures have been followed.Assists end-users and P-Card users with questions regarding policies, availability, shipping inquiries, etc.Reconciles credit card statement monthly.

    Oversees campus telecommunications and wireless accounts. (15%)Manages changes to the campus telephone network.Troubleshoots and reports all telephone line troubles.Reviews phone lines quarterly to ensure accurate billing.Processes campus telecommunications billing.Processes monthly bill.Checks bill for discrepancies.Orders new and replacement devices.Assists end-users with issues that may arise with devices or accounts.

    Performs related duties. (5%)
Required Qualifications
    Knowledge and level of competency commonly associated with the completion of an Associate’s degree in a course of study related to the occupational field.Experience sufficient to thoroughly understand the objectives and functions of the department, usually interpreted to require one or more years of related experience.
Knowledge, Skills, & Abilities
    Knowledge of PeopleSoft and Microsoft Office.Knowledge of modern office practices and procedures.Knowledge of purchasing methods and guidelines.Skill in interpersonal communications.
