Position Summary

The Assistant Director ofIntegrated Systems (IS) is a temporary position responsible for variousAcademic Records, Admissions, Financial Aid, and Registration platforms andintegrations. The person in this role serves as a member of the EnrollmentServices Operations Leadership Team. This individual will supervise a team ofproject administrators, functional analysts, and system specialists and isresponsible for managing the framework that supports applicant and studentrecords, financial aid, and registration systems. The Assistant Director ofIntegrated Systems contributes to and leads projects to update, improve, and/orcreate systems and processes designed to respond to governmental andinstitutional requirements and/or improve the student experience. The role willregularly troubleshoot and resolve discrepancies and inaccuracies, exercisestrong verbal and written communication skills, as well as a focus on attentionto detail.

ESSENTIAL JOB FUNCTIONS

Integrated Systems Process& System Management

Maintains a deep understanding ofthe ways in which the individual parts of the Student Information System (SIS)work together, and the way the SIS integrates with the other enterprise systemsused by the College. Plans and directs staffing and delivery of services, witha strong focus on application, CRM, and student information system functionsand management. Assists with departmental and College planning; develops,maintains, and evaluates unit action plans to facilitate student access,success, retention, and goal attainment from a systems perspective. Implementscontinuous process improvement based on an integrated systems module strategywithin the Student Information System platform. Oversees relationship andsupport maintenance with college stakeholder offices.

Operational Leadership

Provides leadership andmanagement, maintains accountability for Integrated Systems activities inconjunction with the Senior Director, and serves in their absence. Managesonboarding, supervision, and performance reviews for Integrated Systems teamcomprised of project administrators, functional analysts, and systemspecialists. Supports unit operations by providing supervision of staff andunit functions, services, programs, and resources. Ensures compliance withCollege and departmental strategic goals, enrollment management initiatives,regulations, policies, and procedures. Supervises staff by assigning anddelegating tasks, providing direction, resolving work problems, communicatingjob expectations, following up on accountabilities, conducting training, andensuring employee development through professional growth opportunities.Conducts annual employee evaluations and recommends pay increases, promotions,and other personnel actions, including administering disciplinary actions uponapproval and in collaboration with the departmental leadership and HumanResources. Approves leave and authorizes overtime and expense reports, as appropriate.Participates in employee selection process.

Fiscal & Administrative

Assists as required in monitoringand compliance with department budget. Maintains confidentiality of studentrecords and maintains personnel files and other sensitive information. Maintainsrequired department operational documentation including contract, statusreports, staffing reports, budget information, and other data. Recommendsdepartmental policy and process changes accordingly.

Knowledge, Skills and Abilities: Knowledge of: Federal and state financial aid regulations; higher education records and registration administration; and higher education operations systems, particularly enterprise-wide student information systems and recruitment/outreach-oriented CRM systems.Skill in: Effective leadership practices; excellent verbal and written communication; project management; planning and organization; working within a budget; data preparation and data analysis; department specific systems as well as software such as Office Suite applications; proficiency in data presentation software for creation, publication, or presentation of graphics and tables; and customer service.Ability to: Apply management principles to practical situations within a single department or functional area; manage and accomplish results through delegation of accountability and responsibility to management staff; compile, track and analyze enrollment and financial data; develop and maintain effective working relationships with College associates and general public; maintain confidential and sensitive information; manage multiple assignments at once; provide administrative input and oversight; demonstrate flexibility; and effectively work with persons of varying cultures and diversity.

Minimum Qualifications:

  • Bachelor’s Degree in Education, Administration, Student Personnel, or a closely related field. 
  • Three (3) years progressively responsible experience.
  • State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
