Chief Objective of Position:

Under the direction of the Associate Director of Transfer Admission and Enrollment, this position is responsible for supporting the recruitment, admission, and enrollment of the entering transfer class. In addition, this position coordinates the evaluation of academic transcripts and other credentials, articulates and awards credit, if appropriate, reviews and makes decisions on domicile applications, and acts on applications for transfer, non-degree and re-admission. This position also maintains the day-to-day responsibility for the transfer recruitment activities and schedule, building strong relationships with community college partners, and developing on- and off-campus events and programming to support the recruitment of these students. Finally, this position will assist with various other aspects of the Office of Transfer Admission and Enrollment including, but not limited to, application processing, requests to take courses elsewhere, credential review, general information sessions and admission interviews.

Work Tasks:

Transfer Admission and Readmission:

 

  • Routinely communicates and meets with new transfer applicants, returning student applicants, and their families regarding admission requirements and eligibility.
  • Interviews prospective applicants for transfer admission and assists with reading applications for admission.
  • Conducts persuasive information sessions and other presentations to prospective students and their families about Christopher Newport.
  • Serves as the primary recruiter and visits community colleges for tabling, presentations, meetings, and transfer fairs. Coordinates the scheduling of these efforts each semester.
  • Requires frequent travel within the state, some resulting in overnight stays, as well as some evening and weekend work commitments.
  • Assists with planning and implementation of programs for prospective students, family and community college counselors to generate interest in Christopher Newport. This includes both on- and off-campus events.
  • Assists with communications to community college counselors and transfer partners via direct mail, social media, chat sessions, email and in-person. Develops communication plans for these constituents.
  • Researches, evaluates and suggests innovative ideas for the recruitment and enrollment of new transfer students.
  • Reviews applications for transfer admission, non-degree admission and re-admission, requests additional documentation and/or credentials, processes acceptance forms, and calculates decision grade point averages.
  • Leads the Captains Connection program to include marketing/recruitment, programming, and admission of these students. Works directly with Virginia Peninsula Community College to recruit students and communicate program requirements.
  • Represents the Office of Transfer Admission and Enrollment at various campus events such as Open House, Community Captains Program events, Changing Tides, Setting Sail/Welcome Week, etc.


Coordination of Domiciliary Issues:

  • Manages the activities associated with in-state tuition and reduced rate tuition eligibility for new transfer students, readmitted students and non-degree students.
  • Assists the Associate Director with cases for special populations and reclassification cases for currently enrolled students.
  • Reviews student eligibility for in-state tuition in accordance with Section § 23.1-5 of the Code of Virginia, ensuring that appropriate status is awarded and that appropriate University authorities are sufficiently notified.
  • Reviews University policies, procedures, and practices to ensure compliance with Section § 23.1-5 of the Code of Virginia and with established University policies. Evaluates the efficiency of and identifies areas in need of improvement. Makes suggestions for improvement to the Associate Director.
  • Attends annual SCHEV/VACRAO training as funding permits and develops employee-training guide.
  • Maintains associated forms, websites and procedures for in-state tuition determinations.
  • Assists the Senior Director in the coordination of the Domicile Appeals Committee.


Transfer Credit:

  • Assists with the review of requests of current students to enroll in courses elsewhere and provides guidance to students on options for degree completion.
  • Utilizes online degree analysis tool to make determinations regarding eligibility to enroll in and receive credit for coursework completed at another higher education institution.
  • Maintains and continually reviews inventory of CNU transfer equivalent courses in electronic database.
  • Articulates credits earned elsewhere and posts to the student’s academic record.
  • Assists the Associate Director and University Registrar in the coordination of the Appeal for Courses Taken Elsewhere Without Prior Approval process.
  • Utilizes the National Student Clearinghouse to identify unreported periods and/or institutions at which the student has been previously enrolled and makes appropriate adjustments to the student’s application.
  • As part of the Transfer Admission & Enrollment team, this individual will also take measures to ensure that the University is compliant with the State Policy on Transfer and operates adhering to all current guaranteed admission or articulation agreements.
  • Serves as a member of the internal quality assurance team to help ensure data and record integrity associated with these enrollment credentials.
  • Regularly runs reports to identify potential duplicate credit, reconciles these instances, and notifies students accordingly.


Initial Registration of New Transfer Students:

  • Assists with designing the schedules and registering new transfer students based on information gathered via the transfer enrollment system and based on information provided by academic department chairs.
  • Consults with the Associate Director or Senior Director regarding situations with conflicting information or when there is insufficient course availability for new transfer students.
  • Coordinates communication with department chairs and program directors regarding new transfer students and associated faculty advising assignments.


Customer Service:

  • Develops and maintains positive and professional customer service and/or relations within the office/department and with all constituencies to include students, faculty, staff, guests, and employees.
  • Demonstrates a positive and professional attitude and treats everyone with dignity and respect. Fully supports the “Student’s First” value at CNU and routinely goes the extra mile in providing service.
  • Participates in a cross-training initiative so all staff members possess a general knowledge base of University and office functions to better guide and refer customers.
  • Assists with coverage in the Commons and with receiving incoming phone calls and emails.


Collaboration, Supervision and Leadership:

  • Supervises all student employees (2-3).
  • Serves as representative of the office, providing guidance regarding operational issues, on various division and university groups and committees.
  • Functions as a contributing member of the office by providing efficient services to students, faculty, staff, alumni, parents, and other constituents.
  • Cognizant of the rules, regulations and policies of the State Council of Higher Education of Virginia, U.S. Department of Education, and the University.
  • Recommends and assists in the development of policies and procedures pertaining to enrollment of international students, transfer admission, State Policy on Transfer, Advanced Placement, International Baccalaureate, and transfer equivalency tables. Maintains procedure manuals for the office.
  • Assists and collaborates with the Associate Director, Senior Director and the University Registrar to develop degree maps with the Virginia Community College System.
  • Assists the Associate Director, Senior Director, the University Registrar, and/or the Vice President of Enrollment and Student Success on various initiatives and projects on an as needed basis.


Appeals Committees:

  • On an as-needed basis, serves as a member of the Transfer Admission Appeals Committee, Withdrawals Appeal Committee and/or Domicile Appeals Committee.


Other:

  • This position is designated as a “responsible employee” who has the authority to redress sexual violence, who has the duty to report incidents of sexual violence or other student misconduct, or who a student could reasonably believe has this authority or duty.

Required Education:

Master’s degree; or a Bachelor’s degree and related experience that equates to an advanced degree, at time of start date.

Preferred Education:

Master’s Degree in Higher Education Administration, Student Personnel Services, Business, or related area of specialization is preferred.

Experience Required:

 

  • Experience working in higher education with detailed, classified, and confidential information.
  • Experience working with relational databases and/or an enterprise information system.
  • Experience interpreting and applying complex rules and regulations.

 

Experience Preferred:

 

  • Experience working with Slate CRM, Banner Student, Hyland/Perceptive and/or similar student information systems and CRMs.
  • Experience with applying the Virginia State Policy on Transfer.
  • Experience working with admissions, registrar, financial aid, and/or education records in a higher education environment.
  • Experience working in the marketing and recruitment field.
  • Experience in a position with a public speaking role and evidence of excellent oral and written communication skills.
  • Experience with the Microsoft Office suite (Word, Excel, PowerPoint, Access, and Publisher) or similar product.
