Assistant Director, Program Operations (Remote)

The Assistant Director, Program Operations, a remote position, manages and streamlines day-to-day operations of the Communication and Sciences Disorders (CSD) online Master's Program, Speech@Emerson to ensure it functions in a high-quality, efficient, and fiscally responsible manner. The Assistant Director is responsible for informing, developing and implementing annual and semester academic schedules, determining instructor appointments for over 200+course sections, establishing academic assignments and contracts, and serving as a primary point of contact for over 200 department instructors. In this role, the Assistant Director will analyze and collate data to inform schedule cadences, facilitate instructor hiring and onboarding and develop and maintain website and resource content. The Assistant Director will document standard operating procedures and will work cross-functionally with central offices, CSD administration and 2U partners to inform and drive systematic workflows, reports and dashboards and propose and deploy process improvements.

The Assistant Director will work closely with instructors, serving as a primary point of contact, and will be responsible for providing high-level service and guidance to instructional community members. This person will be responsible for leveraging student information systems, enterprise platforms and communication relationship management (CRM) software to manage records, secure data, analyze reports, and communicate and document instructor information.

Program Operations:

  • Analyze and maintain annual and semester projections for course sections and academic assignments.
  • Build and maintain annual and semester course schedules, accounting for program scale and growth, instructional availability, and enrollment factors.
  • Monitor program registration, cancel sections due to low enrollment, and manage course section capacity.
  • Perform regular audits to ensure data integrity of course assets, academic assignments and contracts, and instructor records adhering to college and program standards.
  • Prepare, audit and administer academic activity payments; problem solve and identify payment errors and solutions.
  • Develop and maintain standard operational procedures to meet program accreditation standards, and business objectives.
  • Manage and maintain the Speech@Emerson academic calendar upholding academic affair standards.
  • Analyze data to inform and improve business processes and overall operations.
  • Develop and present proposals, findings and results to management and stakeholder.

Faculty Relations:

  • Manage and facilitate the hiring and on boarding of new instructors providing guidance, direction and ensure training completion.
  • Serve as a primary point of contact for faculty and instructors for operational and administrative matters.
  • Develop and deploy annual and semester section schedules, availability surveys, assignment invitations and instructor contracts.
  • Collaborate with Human Resources, Finance and Academic Affairs to ensure the program is following employee, instructional and fiscal compliance standards.
  • Collaborate with Institutional Research to secure the course evaluation schedule, and share results with course leads.
  • Partner with course leads to establish course materials and book adoption with the college bookstore.
  • Develop and advance the Faculty Resource Center and pertinent content for new and current instructors.
  • Attend and present at instructor and course lead semester forums.

System Optimization

  • Utilize multiple student databases and enterprise platforms (Banner, Workday, Argos, Salesforce, etc.) to analyze reports, maintain accurate records of instructors’ and assignment-based information.
  • Serve as a key informant and primary end-user for the college’s Faculty Management. communication relationship management (CRM) system, Salesforce.
  • Provide systematic workflow improvements for increased efficiency and process standardization.
  • Understand systematic integrations across the college and with 2U in order to troubleshoot issues.
  • Other duties as assigned

QUALIFICATIONS

  • Bachelor's Degree from a regionally accredited college or university required
  • 4-6 years of experience in higher education and/or business environment required
  • Experience working with multiple databases and platforms (Banner, Workday, Argos, Salesforce, etc.) and serving as a workflow and systems informant preferred
  • Experience working with faculty and higher education administrative offices and academic leadership preferred

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced analytic, technical and problem-solving skills
  • Advanced excel skills manipulating spreadsheets (pivot tables, V look-ups, charts)
  • Understanding of the intricacies of an academic program cycle preferred
  • Served as a super user of an enterprise solution and/or communication relationship management software
  • Ability to devise solutions with limited information and use experience or precedence to resolve issues
  • Experience managing heavy volume in a deadline-driven environment, and the ability to manage multiple timelines
  • Fluency in developing, documenting and implementing standard operating procedures
  • Detail-oriented with excellent time management skills
  • Experience managing budgets, payment processes and reconciliations
  • Excellent customer service and interpersonal skills with personnel at various levels
  • Excellent oral and written communication skills
  • Able to present effectively to small and large groups while working productively with a wide range of constituents in a diverse community
  • Able to handle sensitive issues and maintain confidentiality
  • Ability to work autonomously and resourcefully within a face paced team environment
  • Fluent in Microsoft Office, Adobe, and Google Suite and webinar technology

PHYSICAL ABILITIES

  • This position is generally sedentary in nature, movement throughout the area is required from time to time
  • Requires long periods of mental concentration
  • Ability to effectively communicate in person and through communication media
  • Repetitive movements, occasional lifting of up to 20 pounds, reaching, lifting, stooping and the ability to read a computer screen, detect color-coding and read fine print will be expected.

WORK ENVIRONMENT

  • Usual office conditions
  • Exposed to moderate noise levels

The hiring range for this position is $54,274 to $66,486, commensurate with years of relevant experience.

This position will be primarily remote.

Grade of Position: S-23-07E

Scheduled Weekly Hours: 36.25

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
