Your opportunity:

Building Operations and Client Services is responsible for the planning and management of facilities and customer services that support an array of teaching, research, and administrative needs within the Rotman community.

As the Building Receptionist, you will be responsible for providing front line support for the Rotman School of Management at its facility at 149 College Street. You will: coordinate service personnel inquiries, direct students and visitors to the building; receive couriers; receive and report on service/maintenance requests for building related concerns and forward these to others on the team for action; answer and direct telephone calls; book shared space at the Rotman South location and administer the key schedule which includes issuing keys and programming and issuing key cards. You will also provide clerical and administrative support to the Building Operations and Client Services team.

Your responsibilities will include:

  • Acting as first point of contact for general inquiries and responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Resolving issues within the scope of the role and escalating problems as required, probing for information to establish needs
  • Booking rooms and arranging appropriate accommodations, which includes troubleshooting timetabling and/or room booking conflicts
  • Applying established standards to control the distribution of access to designated University spaces
  • Distributing incoming and outgoing mail and deliveries
  • Overseeing day-to-day operational needs of the unit
  • Writing routine documents and correspondence and generating reports
  • Updating and maintaining employee access cards

Essential Qualifications:

  • College Diploma (2 years) or acceptable combination of equivalent education and experience
  • Minimum two (2) years demonstrated experience in a receptionist position working in a professional business environment
  • Excellent customer services skills and experience
  • High degree of computer skills (PC based - Word, Excel, Outlook)
  • Tact and diplomacy
  • Excellent oral and written communication skills
  • Highly organized with the ability to multi-task, pay attention to detail and deal with conflicting requests in a fast-paced environment
  • Able to work Monday to Friday, 1:00pm to 9:15pm
  • Flexible for shifting hours, with notice, to meet business needs
