Departmental Overview

The College of Engineering at UC Berkeley is recognized for its educational and research excellence, consistently ranking among the top three Engineering colleges in the United States. With 247 regular faculty members, 2,513 graduate students and 4,157 undergraduate students located in seven academic departments, Engineering is the second largest college on the Berkeley campus. COE occupies ten buildings on the Berkeley campus and has extensive facilities at the Richmond Field Station. Operating expenditures for the College as a whole exceed $190.5 million annually.

The Mechanical Engineering Department consistently ranks as one of the top mechanical engineering departments in the world. The Department consists of 43 faculty, 25 career staff, and approximately 462 graduate and 891 undergraduate students.

This position performs a wide range of student services duties and responsibilities for the department of Mechanical Engineering. It takes direction from the department's Vice-Chairs, Equity Adviser and Student Services Manager. It provides assistance to the Vice-Chairs, the Equity Adviser, our Faculty, and our students in the following areas: academic advising, program planning, admissions and recruitment, student awards and financial aid, student events, career counseling, and related programs.

Responsibilities

50% ACADEMIC ADVISING

General Scope
  • Advises Mechanical Engineering (ME) undergraduates, as well as prospective students and their families, on the departmental, college and campus requirements. In conjunction with this, serves as a resource for this information to the departmental administration (faculty and staff).
  • Serves on the departmental Undergraduate Study/ABET Committee and helps plan the ME undergraduate curriculum.
  • Identifies and provides counsel to students who are struggling academically and recommends interventions when needed.
  • Identifies and provides counsel to students facing intricate issues such as alleged discrimination, grade disputes, personal crises, interpersonal challenges, etc. Recommends actions (such as exception petitions) with an understanding of how each action can affect other aspects of their academic careers (such as a double-major situation).
  • Disseminates regular, timely communications of important policies, procedures, deadlines, and other information pertaining to student life (such as job postings).
  • Provides career advice and refers out as necessary.
  • Administrates the Drake Scholarship, processes all awards.
  • Administrates and processes undergraduate student awards.
  • Sits on Student Awards Committees.
  • Processes miscellaneous student awards as necessary.

Equity, Diversity and Inclusion (EDI) Scope
  • Handles most complex/sensitive academic counseling for all of the ME students (graduate and undergraduate populations) who may fall under underrepresented categories.
  • Identifies and counsels students on complex issues/grievances which may have more global ramifications (i.e. campus-wide). Refers students to proper resources when needed.
  • Manages a case-load of students from admissions through graduation.
  • Promotes cohort development.
  • Administrates outreach events in the department and serves as the point-person for students (undergraduate or graduate) who wish to participate in outreach, connecting them to the proper services as well as providing administrative support.
  • Administrates events falling under the EDI umbrella.
  • Administrates the MechE Scholars Program.

15% DEPARTMENT/COLLEGE/CAMPUS POLICIES & PROCEDURES
  • Advises department administration (faculty and staff) on current and future policies and procedures. Aids in their formulation. Apprises administration on areas needing clarification, identifying problem-areas and helping find resolutions to those areas.
  • Analyzes the effects of departmental policies and recommends solutions or changes when needed.
  • Participates in campus workshops and/or committees that develop/revise policies and/or procedures, knowing such work can potentially have a wide affect beyond the campus.

15% RECRUITMENT AND ADMISSIONS

General Scope
  • Serves as a contact and guide for prospective students and their families using a variety of communication channels.
  • Reviews and advise the Vice-Chairs on the transferability/applicability of non-UC Berkeley courses.
  • Works with departmental administration to plan prospective student visits (individual and group).
  • Works with departmental administration and student services to properly plan system requirements, the review of applications, and changes for upcoming admissions cycles.
  • Administrates the Drake Scholarship Application Process

Equity, Diversity and Inclusion (EDI) Scope
  • Advises departmental administration and the student services team on outreach strategies and helps identify targeted institutions to meet organizational goals.
  • Participates and administrates outreach events.
  • Under the guidance of the Equity Adviser, reviews and makes recommendations regarding underrepresented graduate admissions candidates to our faculty.
  • Works with administration as well as current students to identify and recruit students.
  • Administrates info sessions and recruitment events.

10% EVENTS
Plans and implements complex, high visibility student events including, but not limited to:

  • Town Hall Meetings
  • MechE Career Fair
  • Student Workshops
  • MechE Scholars Seminar
  • Other Informational Seminars or Info sessions

10% STRATEGIC PLANNING AND ADMINISTRATION
General Scope
  • Counsels departmental administration and the student services team on long-term curricular issues for the undergraduate program.
  • Serves on the Undergraduate Study/ABET Committee.
  • Engages in continual work to improve student outcomes as well as their academic experience.
  • Assists with accreditation reviews and visits.
  • Helps implement feedback mechanisms to measure departmental success in meeting program objectives and outcomes.
  • Updates online and hardcopy publications as needed.

Equity, Diversity and Inclusion (EDI) Scope
  • Supports the Equity Adviser
  • Plans, develops and administers specialized programs that are designed to enhance student success.
  • Collaborates with the Equity Adviser to establish and implement short and long-term equity, diversity and inclusion goals and objectives.
  • Generates EDI reports.
  • Coordinates and participates in EDI workshops and round-table discussions.
  • Gathers feedback in various ways (surveys, etc.) regarding student climate.
  • Continually works to improve the student experience and the department climate.

Required Qualifications
  • Advising and counseling techniques.
  • Monitoring/assessing processes or services, to make improvements.
  • Project management.
  • Excellent communication skills (verbal, written, etc.). Judgement, sensitivity, and tact in all communications.
  • Problem identification, reasoning, ability to develop original ideas to solve problems, persuasion, leadership.
  • Post-degree employment opportunities and practices.
  • Interpersonal skills. Multicultural competencies; ability to work with diverse populations.
  • Experience working with a very diverse student body with differing needs.
  • Methodologies used to enhance student achievement such as collaborative teaching/learning models, strategies for effective counseling and peer mentoring, small group facilitation and training, coaching mentoring and advocacy.
  • Experience with conflict management and intervention strategies.
  • Extensive experience with multicultural competencies, and personal and academic crises intervention; assist in clarification of ethics and values.
  • Ability to concentrate in an open work area in a busy office environment as well as skill to pay close attention to detail and prioritize work load with frequent interruptions.
  • Risk assessment.
  • Master's degree in related area and/or equivalent experience/training.
  • Experience in establishing and implementing short and long term program goals and objectives.
  • Demonstrated experience in implementing new processes in a higher education environment, preferably in the student students arena.
  • FERPA Certification.

Preferred Qualifications
  • University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Knowledge of common University-specific computer programs and systems.

Salary & Benefits

Salary is commensurate with experience. This is a 100% FTE career position eligible for full benefits.
