General Description / Primary Purpose:

This position’s duties include the management of admissions’ events on and off campus. This includes Saturday at the Nest, Open Houses, webinars and a variety of receptions off campus while staying within the Enrollment Services brand and the Academic Affairs brand promise. The position serves as the chair of the Enrollment Services Event Committee and works with others within Enrollment Services and with other constituents at the University to plan and coordinate events. In addition, the position assists in recruiting, training, reviewing performance of student workers and tour guides. The position participates as a professional member of the outreach and recruitment team to engage prospective students, parents, and other constituents with the goal of recruiting students to the University.

Job Function:

Initiate meetings with staff and stakeholders to strategize and define event objectives, including but not limited to budget, program message and target audience.
Research and recommend appropriate sites, venues and vendors. Negotiate contracts and pricing agreements and reserve services. Manage and coordinate vendors and internal University services to ensure that all contractual agreements and logistical requirements are met.
Manage and coordinate day-of event logistics including but not limited to vendors, services and staff.

Produce event-related materials including but not limited to timelines, programs, facilities set ups, floor plans, production schedules, staffing assignments, seating plans, etc. Prepare comprehensive post-event summaries for all events.
Create projected budget expenses and work within the allocated budget. Maintain budget expenses for each event.
Contribute to the timely production of all printed and electronic event communications and collateral as needed. Prepare and organize materials including but not limited to seat cards, place cards, signage, name badges, etc.

Develop system to monitor the status of events, projects, and assignments; communicate to the event team, supervisor and/or clients.
Maintain quality and consistency in work and events by implementing the standardized event procedures, timelines and policies of the office.
Represent Enrollment Services at meetings and events with professionalism and courtesy. Establish professional working relationships with various University offices, vendors, services and constituent groups.

Required Qualifications:

A Master’s degree from a regionally accredited college or university in a directly related area of specialization and two years of experience directly related to the job functions; or a Bachelor’s degree from a regionally accredited college or university in a directly related area of specialization and four years of experience directly related to the job functions.

Departmental Requirements:

Bachelor’s Degree from an accredited institution in an appropriate area of specialization and 3-5 years of experience in event planning and coordination, customer service, marketing or event coordination. A valid motor vehicle driver’s license.
Candidates should have a minimum of 3 to 5 years of comprehensive event planning and volunteer engagement experience and a record of demonstrated success. Candidates must have strong verbal and written communication skills; excellent interpersonal skills and sound judgement; attention to detail and accuracy; creativity and problem solving skills. Preferred candidates will have excellent contract negotiation skills, knowledge of catering, banquet and event planning best practices and the ability to independently manage multiple tasks, projects and deadlines.
This position requires exceptional communication (presentation skills), organizational and leadership skills with a creative vision focused on continued improvement across the spectrum of responsibilities.
Must be an enthusiastic supporter of UNF and its programs.
Ability to communicate effectively, both orally and in writing, including professional public speaking skills.
Must understand branding, brand management and brand consistency.
Must possess strong detail and time management skills. Ability to work independently and accomplish tasks under deadline stresses.
Basic knowledge of word processing and database accessing.

In this position, work hours will vary. They will include extensive evening and weekend hours. When working in the office, hours are generally 8 AM to5 PM Monday through Friday. There may be times, when a staff member may need to be in the office earlier or later but the work schedule will be adjusted accordingly.

Staff members in this position may not participate in the educational benefit during the fall semester because it is a peak recruitment season (zero courses); they may take one course during the spring semester and two courses in the summer semesters.

This position has been designated as a Campus Security Authority (CSA). This position has been designated as a CSA because it involves significant responsibility for student and campus activities and/or responsibility for campus security. As such, any person in this position must report to the University Police Department a crime or an incident that might be a crime that he/she becomes aware of. This position has a reporting requirement because the University believes that responsibility for students, campus activities and/or campus security will make the holder of this position someone members of the University community will see as an authority figure and someone to whom they can seek help. A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSA’s responsibility is a duty to report. All positions designated as CSAs are required to complete an online or in-person training session.
