Position Summary:

This incumbent provides program coordination for the Institute’s leadership programs in Georgia and beyond. The primary responsibilities are: 1.) Coordinating and organizing leadership programming and 2.) Supervising students assigned to designated leadership programs. This position involves a high degree of independence with limited supervision. Incumbent reports directly to the Assistant Director of Internal Operations.

  • Experience in project management/coordination.
  • Verbal and written communication skills (business grammar, spelling, punctuation, proofing and editing).
  • In-depth analytical and organizational skills.
  • Basic and problem-solving math.
  • Office practices and procedures.
  • Access, Publisher, Excel, Word, layout and design experience.
  • Knowledge of UGA financial policies and procedures.
  • Working knowledge of QuickBooks and UGA financial systems.
  • Supervisory experience.
  • Financial management experience.

Duties/Responsibilities:

  • Independently coordinate assigned leadership programs, simultaneously ensuring that all deliverable expectations are met.
  • Manage each program’s full spectrum of functions including:
    • Negotiation and contracting of vendor contracts for securing of training locations, lodging, food, transportation, participant supplies and activities, ongoing interaction with client on all logistical arrangements;
    • Access database entry;
    • Collect, assess and provide evaluation feedback to the client;
    • Serve as point of contact for communications with local program chairs;
    • Work directly with the client to finalize contracts;
    • Develop, monitor and balance budgets for 40-50 programs per fiscal year.

  • Coordinate Institute events such as conferences, lectures, programs, meetings, and workshops.
  • Attend and provide appropriate support for planning and other program-related meetings.
  • Compile and update event timelines.
  • Compile participant recruitment plans and draft materials.
  • Publicize/market events to target markets/groups/geographic areas.
  • Work with facilities for meeting, banquet, and hotel space; select meals, breaks, request appropriate room set-ups, and audio-visual equipment based on group/instructor needs.
  • Prepare participant notebooks.
  • Serve as liaison with lead faculty, guest instructors, and campus facility contact.
  • Handle event management, on- or off-site, as needed.
  • Coordinate necessary displays of Institute.
