Job Overview

The Office Manager/Administrative Officer provides administrative support to the Office of General Counsel, managing all operational aspects of a 14-member office and interfacing with the Business Office and outside law firms (coordinating billing and payment). They are the public face of the Office, handling and responding to internal and external queries, and assisting in scheduling for the Office attorneys.

They also are involved with budget tracking, reporting and reconciliation, as well as with legal invoices.

Work Interactions

Reporting to the Vice President and General Counsel, and interfacing with the Business Office to ensure appropriate management of the office budget, the Office Manager/Administrative Officer has considerable visibility and interacts with senior leaders at the university as well as numerous university staff. They develop positive working relationships with various university offices and counterparts to ensure proper representation of the Office of the General Counsel.

Qualifications
  • Bachelor's degree.
  • Ability to work effectively across departments and offices, engaging resources in an appropriate manner
  • Ability to work as a team player in a collegial environment with many people from varied backgrounds
  • Flexibility and ability to work independently
  • Ability to be proactive, and work efficiently and professionally
  • Excellent judgment for working with various constituencies, as well as excellent organizational and oral and written communications skills
  • Ability to exercise discretion and diplomacy - and to maintain confidentiality - at all times
  • Strong attention to detail
  • Advanced proficiency with MS Word and experience with Excel, PowerPoint, and Adobe
  • Excellent typing and proofreading skills
  • Proficiency with use of online calendars and e-mail systems
