Position Summary

The Administrative Assistant manages multiple software programs for the Department. Provides administrative support to the senior staff of the Department. Is responsible for the daily publication and recording of the criminal activity on campus to meet compliance requirements, including proper classification and documentation. Manages general purchasing processes for the Department. Handles requests from the public that come into the office in person, via telephone or email, determining if information is protected by Federal guidelines. Works with the staff and officers on all Campus Safety publications, including managing databases. Organizes and maintains the general appearance and functionality of the campus safety offices and the related equipment.

Essential Functions

In addition to following the University of Denver’s policies and procedures, principal responsibilities include, but are not limited to:

  • Office Administration and Executive Support
  • Provide full administrative support to the Director of Campus Safety and other members of senior staff as directed.
  • Provides coordination for internal projects that impact the delivery of service and performance of Department staff.
  • Creates and produces professional documents such as letters, forms, proposals, presentations, graphs, and spreadsheets for use by members of the Department.
  • Oversee the production and editing of reports to higher-level staff within the university including semiannual reports and Balanced Scorecards.
  • Advises and assists with the production and reporting of federally mandated crime statistics and reports.
  • Coordinate travel as necessary for members of Senior Staff and employment candidates including the production of travel expense documentation.
  • Serve as a liaison between the Director and community members as necessary.
  • Respond to incoming inquires (via telephone or e -mail) in a professional manner, determining if information can or should be released or distributed under Federal guidelines.
  • Plan and execute department-wide events including but not limited to: on-site training, conferences, employee activities, etc.
  • Produce and distribute statistical reports including daily, monthly and annual crime statistics.
  • Provide support with the administration of Power DMS software, conducting research when necessary for the development or improvement of written directives and reporting on the adherence to written directives.
  • Participates in the department’s recruitment efforts.

Knowledge, Skills, and Abilities

  • Must possess outstanding communication skills- written and verbal.
  • Excellent customer service skills.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of students, customers, faculty and staff as well at the general public.
  • Ability to produce crime prevention material including Crime Alerts, Crime Notices and Campus Safety brochures for the DU Community.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Ability to compute rates, ratios, and percentages as well as to create and interpret graphical charts.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization may exist.
  • Ability to interpret a variety of instructions furnished in written, oral, electronic, graphical, or numeric form.
  • Ability to self-direct own work.

Required Qualifications

  • Associate degree or equivalent credit hours with an emphasis in Business or closely related field; or equivalent combination of education and work experience.  
  • 1+ years’ experience working in an office or clerical environment.  
  • 2+ years of experience providing administrative support to high-level management.  
  • Must possess and maintain a valid Colorado driver's license and be insurable under University guidelines; or, obtain a valid Colorado’s driver’s license within the required time frame.  
  • Must pass a complete background check to include criminal, motor vehicle report and verification of employment and education.  

Preferred Qualifications

  • Bachelor’s degree or equivalent credit hours with an emphasis in Business or closely related field.  
  • Experience working in a Law Enforcement Agency.  
  • Experience as an administrator of records management software (ARMS, PowerDMS).  
  • Comprehensive understanding of laws and regulations affecting institutions of higher education as well as non-sworn campus Law Enforcement Agencies, including but not limited, to FERPA and The Jeanne Clery Act.  
  • Understanding of CALEA Accreditation standards and processes. 

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Monday - Friday, 20 hours/week between the hours of 8:00 a.m. - 4:30 p.m.
