Job Description:

Otolaryngology - Head and Neck Surgery is seeking a highly motivated and professional individual to join the administrative team. As a Residency/Fellowship Program Coordinator I, you will administer and support the operations of the residency/clinical fellowship program(s). Duties may include:
  • Provide office support to residency program director and/or associate program director.
  • Provide both administrative supervision and support to residents. Act as a liaison between residents and hospital administration and/or other medical departments when necessary.
  • Oversee, organize and prioritize daily activities of the residency/clinical fellowship program. Monitor work progress status and ensure compliance with deadlines.
  • Maintain the residency curriculum, including competency-based goals and objectives for each assignment and each level of training. This may include assisting with the development of program activities, prioritizing program-related tasks and ensuring that important deadlines are communicated and met.
  • Assist in the development of resident rotations, distribute and update the resident rotations, track vacation and leave schedules in electronic systems according to duty hour requirements with oversight of the program director.
  • Perform all residency match responsibilities, including maintaining recruitment database, overseeing the application processes, oversee the interview process and correspond with newly matched residents about requirements and process for appointment to the hospitals. Ensure all interns are credentialed before starting any rotation.
  • Plan departmental annual events, organize meetings, assist in the preparation for ACGME site visits and internal reviews.
  • Will need to work occasional early mornings, evening meetings and weekend events.

    Expected Salary:

    $50,000 - $55,000/annually

    Minimum Requirements:
    Bachelor's degree and two years of relevant experience; or an equivalent combination of education and relevant experience.

    Preferred Qualifications:
    • Experience with Microsoft Office Products (Outlook, Excel, Word, PowerPoint, etc)
    • Proficient in Excel spreadsheets
    • Strong Customer Service Skills
    • Excellent Organization Skills
    • Experience in medical office
    • Ability to prioritize multiple tasks in order to meet competing deadlines
    • Ability to plan, organize and coordinate work assignments
    • Ability to work independently and make decisions in a quick and decisive manner
    • Ability to communicate effectively in person, on the phone and in writing
    • Ability to be detailed, accurate and confidential with work assignments
    • Ability to maintain effective working relationships with colleagues, faculty and residents
