Your opportunity:

The Department of Psychology is a science program and offers research-based BSc programs that focus on various aspects of behavior in humans and animals. The administrative team works collaboratively to meet the needs of faculty, sessional instructors, teaching assistants and students.

Under the general direction of the Manager, Finance & Operations and general supervision of the Academic Counselor/Undergraduate Program Administrator, the incumbent interacts with staff, students and faculty and provides administrative support for the daily operation of the undergraduate program and the delivery of undergraduate courses. Duties include providing program and course information to faculty and students, administrator of PSY 100, assists faculty with test and exam preparation and any other course-related duties as required.

Must be able to work occasional evenings for tests and exams and be able to push a cart with course materials (3-10 kg) to test/exam rooms.

Your responsibilities will include:

  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Coordinating the preparation and distribution of program and/or course material
  • Liaising with contacts to facilitate collaboration on petitions and/or appeals cases
  • Troubleshooting timetabling and/or room booking conflicts
  • Coordinating student grades/marks amendment and change processes
  • Coordinating the recruitment and training processes for exam invigilators
  • Determining logistical details and activities for events and/or programming
  • Updating and maintaining records

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two years of related experience in an academic environment, preferably in Psychology.
  • Experience dealing with a diverse student population.
  • Intermediate knowledge of Microsoft Office Word, Excel including pivot tables, PowerPoint, working with large databases, Adobe Reader and Writer and ACORN (ROSI).
  • Experience with test/exam formatting and test administration.
  • Experience with maintaining information on digital platforms.
  • Experience assisting with logistical details for events.
  • Excellent verbal and written communication skills.
  • Good note-taking skills.
  • Accuracy, attention to detail and excellent interpersonal skills.
  • Ability to deal courteously with faculty, staff, students, applicants and the public from a diverse background.
  • Ability to maintain and exhibit cultural sensitivity.


Assets (Nonessential):

  • Web maintenance experience.
  • Familiarity with Quercus Learning System or similar software.
  • Experience taking minutes for Academic Offense meetings.
