Under the supervision of the Executive Director of Research and Creative Scholarship, the Grants Coordinator, Post-Award manages fiscal aspects of sponsored grants and contracts in accordance with government regulations, donor requirements and College policy. The GPAS serves as the financial, accounting, and post-award liaison for grants at Emerson College, working collaboratively with the Department of Finance to provide grants accounting support, submit payment requests, process adjustments, and monitor spending and compliance. The GPAS provides support to faculty and principal investigators of grants, including financial reports and projections; monitoring of grant charges; providing guidance on cost allowability, transactions, compliance, and sponsor reporting. The GPAS works with the Executive Director to manage and monitor internal grant accounts and individual faculty awards; circulate and collect annual and recurring certification forms to grant recipients and PI’s; and collaborate on other special projects or assignments as needed.

ESSENTIAL JOB DUTIES

  • Serve as the ORCS liaison between Faculty and Finance for all grant/sponsored-funding related matters, specifically regarding post-award matters.
  • Provide guidance, advice, and oversight to principal investigators/faculty grant recipients and departmental staff on balance availability, cost allowability, re-budgeting, sponsor reporting, and compliance with sponsor regulations.
  • Provide guidance and support to faculty in understanding Emerson’s accounting policies and procedures, and utilizing Workday.
  • Prepare and initiate grant transactions for faculty, including New Supplier Requests, Purchase Orders, and Invoice Payments.
  • Work with Finance to create an account in Workday for each new externally funded faculty award, along with a spendable budget.
  • Review expenditures to grants for cost allowability, reasonableness, consistency, allocability, and adequate documentation.
  • Prepare and send monthly financial reports on sponsored awards to PI’s.
  • Proactively alert Executive Director of ORCS and PI’s of unallowable costs, unusual expenditures, or other compliance risks.
  • Assist Executive Director and Office of the Controller with internal and/or external audits of sponsored awards, as needed.
  • Work with faculty/department as needed to correct deficiencies in expense reports or move unallowable expenditures to non-sponsored accounts.
  • Maintain an internal tracking system for all post-award deliverables.
  • Work with Finance to invoice sponsors and submit financial reports in a timely manner, assign grants/award revenue to appropriate accounts.
  • Maintain post-award files and documentation in accordance with College policies on recordkeeping, and best practices for sponsored programs offices.
  • Work with faculty members and Finance to close out accounts for expired awards in a timely manner.
  • Participate in developing and co-hosting workshops and other training opportunities for faculty and staff on grants management, cost allowability, using Workday for grant expenditures, etc.
  • Circulate required certifications for grants compliance on a regular basis (effort certification, cost sharing/in-kind certifications); alert Executive Director of ORCS when discrepancies or issues arise.
  • Work with the Executive Director to manage and monitor internal grant accounts and individual faculty awards.
  • Issue and monitor sub-awards to external institutions under prime awards to Emerson College.
  • Stay up-to-date on federal grant regulations, cost allowability, and best practices in sponsored funding administration, including CFR Part 200 - Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards.

QUALIFICATIONS – Qualifications are deemed required or preferred and represent what is needed to effectively perform job.

  • Bachelor's degree or equivalent experience
  • At least 2-4 years of related work experience
  • Prior experience in accounting and/or monitoring government grants preferred

  • Strong organizational and time management skills to achieve timely progress on multiple simultaneous complex projects
  • Strong accounting skills highly preferred
  • Ability to meet tight deadlines, goals, objectives and maintain a high level of productivity and accuracy
  • Proven capacity to learn and adapt to new computer programs and interfaces
  • Superior interpersonal and communication skills to interact professionally with staff & faculty, colleagues, campus departments and other outside agencies
  • Ability to adapt and problem-solve as new challenges arise
  • Computer skills and experience in, but not limited to: Word, Excel and the skills to manipulate, extract and analyze data
  • Experience with Workday a plus

The hiring range for this position is $54,274 - $66,486 commensurate with years of relevant experience.

Grade of Position: S-23-07E

Scheduled Weekly Hours: 36.25

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
