Full Time (40 hours per week)

Day Shift; 8:30am-5:00pm

Occasional evening and weekend work is required as needed.

Position Summary:

The Executive Communications Administrator will serve as the primary writer and editorial gatekeeper for the Office of the Dean of the Medical Faculty and CEO of Johns Hopkins Medicine, ensuring consistency of message, style, and tone of executive and institutional messages. The position will serve as the liaison with JHM Communications and other JHM offices and departments on communication materials, including staff communications, leadership blog, media relations, executive communications, and presentations and formal or keynote speeches, newsletters, statements of opinion, public letters, and other documents that articulate the vision and ideas for the Dean/CEO. The position will communicate information of a highly complex nature in a clear, precise, and compelling way while upholding brand standards and creating dynamic and well-thought-out presentations tailored to various audiences.

Reports to: VP of Communications with dotted line to the School of Medicine (SOM) Chief of Staff and Senior Advisor

The primary duties and responsibilities of the job:

  • Serve as a liaison to senior staff in Communications, including Vice President of Communications, Director of Internal Communications, and Director of Media Relations
  • Work directly with senior administrators to plan and implement communications strategies, and ensure accuracy, fluency, and appropriateness of external promotions and pitches, announcements, columns, and other mass communications authored on their behalf, including quotes for press releases.
  • In partnership with Communications, align institutional and executive communication efforts to ensure that messages are cohesive, convey a clear strategic vision, and set the appropriate tone for the organizational culture
  • Enhance the visibility of Johns Hopkins Medicine with local and national/international audiences to advance its position as a global leader in health care. Working in partnership with the Media Relations team, vet and pursue media opportunities, including public appearances and op-eds
  • Enhance the visibility of the Dean/CEO to advance their position as global thought leaders in health care. Working in partnership with the Media Relations team, vet and pursue media opportunities, including public appearances and op-eds
  • Working in partnership with the Communications team, develop social media content for the Dean/CEO
  • Manage the review and approval of Development/fundraising communications
  • Manage personal correspondence with patients and other individuals in the community as appropriate - replying to letters, sending out notes of congratulations, etc., on our executives' behalf
  • Identify and develop new vehicles to tell engaging stories and share best practices with the public, media, and entire Johns Hopkins Medicine community and to build relationships with front-line staff
  • Review and edit drafts of talking points provided by other offices to ensure they reflect the voice and priorities of the Dean/CEO
  • Attend executive speaking engagements regularly and provide feedback
  • Develop and sustain contacts with leadership, faculty, staff, and other constituents
  • Ensure that all prepared remarks and other public statements, including those prepared by other offices, are accurate, fact-checked, and proofed.
  • Monitor and analyze developments and major issues in health systems to ensure they are appropriately addressed and articulated.


Education:

Bachelor's degree in communications, journalism, marketing, public relations, business, or a related field is required. Master's degree preferred

Department Preferred Education: Master's or Bachelor's degree in journalism, communications, public relations, or a closely related field. Advanced degree in related field preferred.

Licensure/Certification:

N/A

Required Work Experience: A minimum of 6 years of related experience in academic medicine, health care or with a large Fortune 500 Company in supervising and implementing effective internal communications plans and strategies, and in editing/directing high-quality internal publications

  • Extensive experience working with and writing and editing for executives. Demonstrated ability to quickly assess and understand situations and capture and express the Dean/CEO's unique style, tone, and voice.
  • Strong oral and presentation communication skills.
  • Strong organizational, leadership, negotiation/mediation, problem-solving, and project mgmt. skills.
  • Ability to effectively manage multiple projects and meet deadlines in a complex and fast-paced environment.
  • Excellent interpersonal skills to effectively interact and collaborate at various levels, including sr. leadership, physicians and experts, high-level external contacts, clients, patients, and colleagues.
  • Advanced knowledge and use of relevant communications channels, functions, and tools (such as social media, websites, media relations, content development, webinars/events, digital marketing, video production, graphic design, employee communications, etc.) necessary to collaborate with other specialized areas of communications to implement plans and strategies.
  • Thorough knowledge and experience drafting content in compliance with AP Style.


Department Preferred Experience:

The primary responsibilities of the position:

  • Research interview subject matter experts and draft content of a highly complex nature for the Dean/CEO, including blogs, media statements, talking points, executive communications and presentations and formal/keynote speeches, newsletters, statements of opinion, public letters, and other documents.
  • Serve as a liaison between the Dean's office, the JHM Communications department, and other JHM offices and departments, collaborating on communication materials that articulate the vision and ideas of the Dean/CEO, SOM, and Johns Hopkins Medicine.
  • Ensure that all prepared remarks, external promotions and pitches, quotes, internal announcements, columns, and other mass communications and public statements-including those organized by other offices-re appropriate, accurate, and fact-checked and reflect the voice and priorities of the Dean/CEO. Attend the Dean's speaking engagements regularly and provide and incorporate feedback.
  • Work in partnership with the Institutional and entity Internal Communications teams to develop opportunities to enhance the Required knowledge, skills, and abilities, include:
  • A minimum of 6 yrs. of related experience working closely with top executives in a large, complex academic medical center, health care organization, or corporation to drive communications to employees and external audiences.Dean/CEO's visibility with internal audiences across Johns Hopkins Medicine.
  • Collaborate with the SOM Chief of Staff/Sr. Advisor to lead event planning activities for the Dean's office.
  • Manage correspondence with patients and other individuals in the community as appropriate- replying to letters, sending out notes of congratulations, etc., on the Dean's behalf.
  • Coordinate with the Office of Government and Community Affairs to ensure that SOM executives communicate cogently and consistently on key policy issues and connect with stakeholders and community leaders.
  • Collaborate and coordinate with the JHU Marketing and Communications department on combined university and health system communications.
  • Collaborate and coordinate with the JHM communications team member working with the JHM Office of Diversity, Inclusion, and Health Equity department on combined university and health system communications.
  • Monitor and analyze developments and major issues in health care to ensure they are appropriately addressed and articulated.


Knowledge, Skills and Abilities:
  • Knowledge of high-level external and internal communications strategies and tactics. Well-versed in communication audits and in working closely with top executives of a large academic medical center, health care organization, or corporation to drive communications to employees and external audiences
  • Demonstrated experience integrating communications with branding and marketing communications principle
  • Demonstrated knowledge in creating, implementing, and measuring strategic communications plans, and measurement techniques
  • Advanced knowledge of relevant marketing and communications channels, functions, and tools (such as social media, websites, media relations, content development, webinars/events, digital marketing, video production, graphic design, employee communications, etc.) necessary to collaborate with other specialized areas of marketing and communications to implement plans and strategies.
  • Demonstrated knowledge of leadership, conflict resolution, and change management principles.
  • Understanding of market research and market analysis functions and relation to marketing and communication strategy and execution
  • Experience in managing crisis communications.
  • Experience with the latest communication methods, including online marketing and social media.
  • Demonstrated understanding of the coordination of electronic communications to support media relations, marketing, development, and advocacy.
  • Knowledge of healthcare institutions and operations as well as healthcare regulatory compliance requirements, including HIPAA


  • Ability to meet the communications needs of a wide variety of clients by providing a broad range of communications.
  • Ability to work with top executive leadership to effectively direct internal and external communications for the office of the Dean/CEO.
  • Proven track record in developing, managing, and expanding client services sustainably and effectively,
