Sr. HR Coordinator
The Division of Neurology Research, Finance and Administration in the department of Neurology in the School of Medicine is seeking a Sr. Human Resources Coordinator. The Sr. Human Resources Coordinator will work in conjunction with the HR team to support the Department in all facets of human resource administration for JHU and JHH. As a team we support faculty, residents, fellows, students, visiting scholars and staff. Assist in coordinating services such as employee relations, salary administration, database management & reporting, coordinating hiring activities and orientation and maintaining HR records & retention. Responsibilities include interpreting and communicating policies and procedures and providing employee relations support. Along with Neuro HR team serves as department liaison to Divisional and Central HR staff. Performs duties of a sensitive and confidential nature.

Specific Duties & Responsibilities

General HR management

  • Works with HR Manager to develop departmental policies and procedures that comply with those of Johns Hopkins Medicine.
  • Ensure department compliance in regard to FMLA, FLSA, EEOC, ADA, etc. Assist faculty and staff with FMLA requests and leave of absence needs.
  • Uphold and interpret policies and procedures.
  • Process temp agency requests, timesheets, and invoices.
  • Run/develop weekly, monthly, and/or quarterly reports in SAP. Provide summary and report concerns to appropriate leadership.
  • Review trends in the time and attendance process reporting to HR Manager areas of concern.
  • Monitor compliance and leave usage through audits and reports in E210, CATS and KRONOS.
  • Assist with salary allocation adjustments and monitoring labor reports, salary overpayments, and other special activities.
  • Maintain HR files ensuring data integrity and auditing regularly.
  • Assist with managing the annual salary planning process.
  • Work closely with the HR Manager to provide additional support as needed.
  • Departmental liaison with divisional HR, central payroll, and benefits office.
  • Attend JHU and SOM Human Resources meetings and provide summary reports or announcements to leadership and supervisors.
  • Other duties/projects as assigned.


Employee Relations

  • Advise management on the disciplinary process and the documentation needed. Provides assistance in disciplinary actions and assists in researching issues and gathering sensitive information.
  • Meet with supervisors as needed for guidance on performance improvement planning, appeals disciplinary action and other HR matters.
  • Working with HR Manager, actively participates in gathering sensitive information on appeals, disciplinary actions and other personnel matters employee relations investigations.
  • Compose, edit, type, and distribute various form letters and correspondence as necessary.
  • Maintain depository of current templates letters and guides for supervisors.
  • Meet with staff and supervisors on employee relations matters.
  • Works with HR Manager in managing appeals processes and investigation.


Employment/Compensation

  • Prepare, develop and review job descriptions and postings, employment letters and new hire information. Create and maintain a job description data base.
  • Assist with interviewing and reference checks as needed.
  • Perform new hire orientation and onboarding activities.
  • Ensure new hires have smooth transition into their position through introductory period activities and check-ins.
  • Complete exit interviews, provide summary reports and suggestions for retention.
  • Annually review salary equity among job classifications to ensure internal and market equity.




Training

  • Coordinate training of new hires, and continued training for existing employees, including HIPAA regulations
  • Monitor training schedules for new supervisors and/or managers.




Payroll

  • Act as backup in the following functions
  • Payroll administration for all faculty, student and staff.
  • Prepare payroll documentation/actions via SAP (ISR's).
  • Submit payroll actions via CATS and KRONOS.
  • Liaison between hiring managers and SOM Employment Specialists/Recruiters.
  • Student and summer hire hiring and payroll. Coordinate with student employment both graduate and undergraduate.
  • Contact employees regarding salary changes and corrections, collection of overpayments.
  • Provide guidance on JHU Casual, and Temporary positions. Regular communication with these staff including time approval and payroll processing, and monitoring for end dates/hours worked.
  • Facilitate annual merit increases and annual performance review process, as well as introductory review activities. Advise supervisors of deadlines pending and ensure they are conducted and processed in a timely manner.
  • Coordinate actions with HR Shared Services and Payroll Shared Services to meet special needs of the department. Prepare for and insure files are auditable by The Joint Commission (TJC) and other agencies.
  • Prepares personnel requisitions for submission to Human Resources.
  • Assist with all payroll and compensation responsibilities. This includes review of payroll documentation, transactions, ensuring payroll timeliness, and accurate merit review process.


Minimum Qualifications
  • Bachelor's Degree in Human Resources, Business Administration, or other related field.
  • Three years related experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Employee relations experience preferred.
  • Experience with SAP and/or KRONOS helpful.

Starting Salary Range: $44,850-$61,600 Anually (Commensurate with experience)

*JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
