The FSU Physics Department offers research programs that are well-funded, diverse, and provide a breadth of learning and teaching experience to over 300 graduate and undergraduate students. The department is comprised of over 60 faculty members specializing in condensed matter, nuclear, high-energy, atomic, bio-, and astrophysics.

The Physics Department houses unique experimental facilities such as the John D. Fox Nuclear Accelerator Laboratory and has strong ties with the National High Magnetic Field Laboratory, which is the largest and highest-powered magnet lab in the world.

Responsibilities
  • Serves as the department accountant and is responsible for financial recording, reporting, and monitoring of the Physics department and affiliated program budgets including E&G, SRAD, Carryforward, Foundation, and Auxiliaries. Completes monthly ledger reconciliations for supervisor and chair's review. Responsible for the end of the year fiscal closing of the E&G budgets. Maintains, reconciles, and monitors departmental internal auxiliary billing, such as ITS, OBS, and parking and transportation charges. Keeps track of and reports on expenditure data for departmental commitments. Reviews and verifies all departmental expenses are correct. Works to resolve issues when identified. Responsible for initiating and maintaining billings for revenue generating auxiliaries. Work with the Business Manager to develop and submit annual auxiliary rate calculations and backup to applicable university offices.
  • Serves as a procurement representative for the Department and is responsible for preparing and entering requisitions, change orders, payment request forms, departmental online journal entry forms, SpearMart punch-out catalog orders, and other related tasks as assigned. Responsible for holding a P-card and making business related purchases for employees, supply purchases, and other related purchasing activities. Ensures compliance with Federal, State, and University laws, policies, and guidelines, including obtaining product information, proper authorization and entering complete/accurate information in the purchasing system. Tracks procurement items from requisition to receipt and delivery to final payment phase. Serves as P-card proxy for other card holders in the department.
  • Serves as travel representative for the department; gathers details and processes travel authorizations and reimbursements. Responsible for ensuring travel submissions are compliant with state and federal laws and that university policies are met. Ensures that requests are completed in a timely manner; assures that expenditures are allowable, allocatable, and reasonable. Assists faculty in making T-Card purchases and holds T-Card for Department. Responsible for monitoring, ensuring compliance, and processing transactions through Expense Reports for all department T-Card holders.
  • Assists Property Records in inventory search for "unaccounted for" items on State budgeted inventory. Maintains and completes updated property inventory records and forms for review as necessary. Identifies and supervises the tagging of all equipment purchased in the department.
  • Serves as a back-up to the department for administrative tasks such as work authorizations, effort reporting, and C&G accounting. Supports day to day operations for the department and performs other duties as assigned by supervisor or chair.
  • Other duties as required.
Qualifications

Who is an ideal candidate for this position?

An individual who likes working with numbers and seeing their efforts come together as planned. Being able to see the big picture while ensuring the small details are managed is an essential attribute of this position. Someone who is able to work well under pressure, organize tasks, and meet deadlines.

Needless to say, professional communication skills are required. You will work as a team player but also independently to complete tasks.

  • Bachelor's degree or high school diploma/equivalent and experience equal to four years. Note: post-high school education can substitute for experience at the equivalent rate.
  • Experience with accounting principles and with preparing, maintaining, and reconciling budgets.
  • Experience compiling, reviewing, and reconciling data for accuracy, completeness, and compliance.
  • Experience using Microsoft Word, Excel, and Outlook or equivalent software.
  • Ability to prioritize and organize work assignments and meet project deadlines.
  • Experience demonstrating effective customer service skills in a professional office setting.
Preferred
  • Accounting courses, certification, or degree is preferred.

Anticipated Salary Range

Minimum starting salary for the position is $36,250. Anticipated starting salary will be commensurate with experience and qualifications.
