Organizational Unit Overview:

Job Duties :

The ECU, College of Nursing is seeking a full-time Administrative Support Associate to provide program support for the College of Nursing (CON), Advanced Nursing Practice & Education (ANPE) Department. The primary purpose of this position is to effectively manage the administrative responsibilities for the NNP/CNS/NM and NE & NL areas of Advanced Nursing Practice and Education Department within the College of Nursing. The major purpose of this position is to serve as the administrative assistant for the Department of Advanced Nursing Practice and Education. This includes serving as assistant to the Program Director(s) (50%), the faculty (25%), and for the program functions (25%). Duties of the administrative assistant are those things done for the programs as a whole, primarily administrative functions preparing annual reports for external organizations preparing documents in support of annual federal funding grants, and preparing a newsletter two times per year. Maintains several student databases. Organizes, and collates all program evaluation data each semester, (Including student evaluation of external rotations, internal rotations, self-evaluations and clinical evaluations) and coordinates annual program evaluation data. Organizes and coordinates student admission interviews, student clinical rotations, schedules students counseling, and familiar with faculty teaching schedule. Records student evaluations into database and creates semester reports. Duties of this position includes effectively managing the administrative support functions for the program such as submission of College and University forms (i.e., Book Orders and Faculty Report forms), preparation of travel and reimbursement, recording and preparing minutes of program meetings and the typing of confidential program materials. This position also supports faculty by retrieving electronic versions of requested journal articles. This includes typing of confidential memos and program materials, answering the phone and taking messages, filing student forms and associated paperwork, word processing, copying, and keeping faculty informed of activities, meeting, notices, etc. This position includes the use of various ECU databases including INB/Self-Service Banner Finance and Student, ECUBIC, Degree Works, etc. Other duties as assigned by supervisor.

Responsibilities include, but not limited to:

40% Public Contact/Work Coordination:
This employee is often times the first contact for the Program Director(s)’ Office. The employee has daily contact with the general public, university faculty and staff. This employee schedules appointments and meetings for the Program Director(s) and maintains their office calendar. They schedule and organize program committee meetings for the Program Directors. The employee coordinates meetings with other departments, faculty, and students. Duties vary from planning meetings to recording and reporting. Information processed including minutes, data, and follow up by memoranda, emails, letters or telephone calls. They distribute the agenda, minutes, and any other pertinent information prior to each meeting via e-mail. The employee also arranges travel for the Advanced Nursing Practice and Education faculty for meetings or conferences. In addition, this individual will be in charge of travel and communication in scheduling potential candidates who are being recruited to the CON. Confidentiality is an important factor in the as this individual will deal with sensitive material such as annual faculty evaluations and student information.

25% Information/Records Administration:
This employee is responsible for recording, transcribing and composing minutes for the Advanced Nursing Practice and Education Meetings. The employee prepares reports for use by the Program Directors, Chair, the Associate Dean, the Dean, and other university-wide agencies. This individual is responsible for entering courses offered in the Advanced Nursing Practice and Education programs each semester into Banner. This employee will be responsible for gathering information for the annual report for the Advanced Nursing Practice and Education programs from assigned concentrations and compiling this information to submit to the Program Director for review.

This employee is responsible for maintaining files housed in the Department Chair’s office. Information is frequently requested by the Associate Dean, department chairs, committee chairs, faculty members, and university administrators. Employee maintains electronic and hard copy files for the Department Chair. This employee compiles data from files for reports for accrediting agencies, professional agencies, federal government granting agencies, and university reports. Also, manages files for all graduate faculty to include credentialing information, CVs, evaluations, etc.

15% Verbal and Written Communication:
This employee composes letters and memoranda, notices, agenda, and meeting minutes for the Program Directors. This employee is responsible for submitting updates and changes via the CON work order system to maintain accurate graduate student information on the CON web site.

10% Office Technology:

Must be able to effectively and efficiently operate office equipment to complete daily tasks. Proficiency in Microsoft Office Suite and outlook is required. Various ECU databases including INB/Self-Service Banner Finance and Student, ECUBIC, Degree Works, etc.

10% Mail:
The employee circulates announcements, flyers, agendas and other related information concerning the graduate Program to the appropriate departments and persons. The employee prepares the outgoing mail according to the regulations of the mail service. E-mail is received and sent to faculty, College of Nursing administrators, Graduate School, other schools and departments in the University.

Minimum Education/Experience:

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

License or Certification required by statute or regulation:

None

Preferred Experience, Skills, Training/Education:

The ideal candidate should have excellent oral and written communication skills and the ability to use tack and judgment in dealing with faculty, staff, students, and the general public. Should be able to work independently, prioritize and have excellent organizational ability. This position prefers an above average knowledge of computer skills including database management and the production of reports and spreadsheets. Critical thinking and problem solving abilities preferred.

Bachelors degree preferred.
