Administrative Specialist II

Qualifications
Reporting to the Associate Dean of Academic Affairs for the Tickle College of Engineering, the Administrative Specialist II will serve as a primary liaison between the academic units and the Associate Dean's Office. The position will play an integral role assisting with management of the day-to-day schedule, meetings, and agendas as well as maintaining and revising important documents such as office presentations, meeting minutes, inputting student time, updating a calendar of events, making and reimbursing travel arrangements for the Associate Dean and guest travelers. This position will also coordinate college commencement through speakers, organizing staff attendees, speakers, music, and other aspects for a successful event. This includes assisting with room reservations, invitations, catering orders, and necessary purchases to host college outreach, recruitment, and retention events. This position will also be the liaison for ENGINE database updates, collecting petitions for program acceptance and communicating with students and parents, as well as gather information regarding student grading appeals.

 

Qualifications

 

Required Qualifications and Experience:

• Seven years of office management experience or three years of experience with a Bachelors degree in a related field.
• Requires experience working with students in a college or university setting.

Preferred Experience:

• Experience working with a diverse student population.
• Experience in higher education.

• Knowledge of curriculum management and program requirements.

 

Knowledge, Skills and Abilities:
• Excellent oral communication and writing skills.

• Demonstrated customer service skills.
• Ability to identify and maintain confidential issues.
• Ability to prioritize and handle simultaneous projects.

• Strong organizational skills.

• Proficiency in Microsoft Office
• Ability to learn and utilize technology that supports both students and professional practice (Student Information Systems, Degree Audits, Internet/On-line Resources.)
