Position Summary:

Under general supervision, performs a variety of moderately difficult duties primarily pertaining to the admission, registration of students, and maintenance of all educational records and files.

Reporting and Supervisory Relationships:

Direct reporting relationship to the Assistant Director of Enrollment Services.

Essential Responsibilities:

1. Provides professional customer service to all groups comprising the Prairie State College community by effectively communicating the policies and procedures within the Enrollment Services office and assisting with other general questions.

2. Serves as primary point of contact with enrollment activities associated with non-credit programming (i.e. general studies, personal interest, etc.).

3. Serves as primary point of contact with enrollment activities associated with the Athletics Department and the Workforce Equity Initiative grant.

4. Responds to requests received through various modes of communication (i.e. email, phone, virtual meeting, etc.) regarding the policies and procedures with the department and college. in-person5. Provides comprehensive value-added information to students in order to support functions related to enrollment.6. Processes return mail including data entry into colleague, mailing communication to students, maintaining and resolving discrepancies related to returned mail, etc..7. Reviews change of information requests for accuracy, filing and routing to the appropriate location.8. Prepares files for review (i.e. graduation petitions, evaluation requests, etc.)9. Communicates with students and institutions to facilitate the timely receipt of documents required to facilitate enrollment activities..10. Assists college departments with the request for transcripts, special holds and other processes respective to the enrollment office.11. Responsible for using professional judgment to troubleshoot and problem-solve registration related issues by working professionally and appropriately with others. Follows appropriate chain of command in supervisor’s absence to resolve issues. Maintains open communications with supervisor by providing status reports on student concerns and assigned projects.12. Accepts and processes all documents associated with the admissions and enrollment process (application, transcripts, waivers, etc.). Resolves errors and possible duplicate records associated with the enrollment process.13. Performs general clerical duties including typing, filing and answering office telephones.14. Assist with the timely creation of student folders, filing of various documents, and records disposal.15. Conducts outbound calls to students regarding aspects of the enrollment process.16. Performs other duties as assigned within the scope of the department, consistent with the role of this position.17. Represents the department at various events (i.e. Open House, community outreach, trade fairs, etc.)18. This position provides day and evening support to the Enrollment Services Office.

Working Conditions/Physical Requirements:

This position provides day and evening support to the Enrollment Services Office. Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects.

Minimum Qualifications:

1. A.A., A.S., or Associate in Applied Science within a related field.2. Two years of work experience in higher education3. Demonstrated ability to maintain confidential information/records.4. Demonstrated efficiency with use and integration of technology into work environments (i.e. Microsoft Office, Google, Adobe, etc.)5. Demonstrated effective oral and written communication skills combined with strong interpersonal skills.6. Demonstrated ability of being detailed oriented and exhibiting a high degree of accuracy with respect to previous work-related responsibilities7. Demonstrated ability to work efficiently under conditions of heavy volume combined with stress producing situations.

Preferred Qualifications:

1. Bachelors preferred.2. Previous experience working within a college Registrar office.3. Bilingual in Spanish is preferred.

Anticipated Work Hours and Days:

8:00 a.m. to 4:30 p.m., Monday , Tuesday, Thursday, Friday. 10:30 a.m. to 7:00 p.m. on Wednesday
