Job Description:

As part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University’s Ancilla College seeks a Career Services Coordinator.

The Career Services Coordinator is a vital member of The Exchange – a team empowering students and alumni to explore and discern potential career paths and develop key skills critical to their long-term professional success. The Exchange engages with students early and often and connects students to the larger community in the form of on-campus employment, informational interviews, networking, internships, mentoring, and community-engaged learning. Reporting to both the MUAC Chancellor and MUAC Dean of Students, and in collaboration with The Exchange staff of the Indianapolis campus, the Career Services Coordinator will promote Marian University’s Ancilla College’s Catholic mission and identity.

This role encompasses two major components: student development and business partnerships. The coordinator will devote approximately 45% of time on student development; 45% of time on business partnerships and 10% on special projects that may include grant exploration/assistance with execution, other assignments as determined by MUAC leadership. This employee will be responsible for actively supporting the Chancellor in guiding Partners With Impact to include the building of external relationships with businesses, not-for-profit organizations and regional economic development agencies, in the planning and execution of networking events, guest speakers, site visits to businesses/organizations, case studies, practicums, mentorships, internships and clinical opportunities to support student experiential learning and employment opportunities that ensure for promise-focused outcomes. This employee coordinates all aspects of digital marketing regarding said focus (in collaboration with Marketing and Communications, The Exchange of MU-Indy and the MUAC Chancellor); overseeing the Federal Work Study program; supporting and adhering to employment regulations for International students, providing career development support to students; supporting community-engaged learning efforts; overseeing the “Dress to Impress” closet (donations and student utilization); supporting all team members, vitally contributing to the efficiency and effectiveness of The Exchange and Partners With Impact; and completing other duties as assigned.

Essential Duties and Responsibilities:

  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan intellectual traditions in courses, programs, and services.
  • Provide a warm and welcoming, high-quality, responsive customer service approach to support to all prospective students and families, current students, alumni, and employers to The Exchange, along with businesses, corporations, not-for-profit organizations and regional economic development agencies engaged to participate in Partners With Impact, whether the contact be in person or virtually. Quickly and thoroughly triage inquiries to answer questions, refer students and alumni to appropriate resources, and support participating Partners With Impact in the execution and delivery of experiential learning opportunities. Experience working with people from diverse racial, ethnic, and socioeconomic backgrounds strongly desired. Collaborate with the Marian Exchange team and MU MARCOM (marketing & communication) team to develop digital marketing (including social media, newsletter, digital signage, and website support as needed).

Collaborate with MARCOM and The Exchange staff of the Indianapolis campus to write content, develop visually appealing marketing materials, track the success of all marketing efforts, and continuously improve and refine those efforts accordingly.
  • Support the building of external relationships with businesses, not-for-profit organizations and regional,economic development agencies
  • Plan and implement career and networking events and fairs for students and alumni
  • Plan and implement corporate networking events to strengthen businesses, not-for-profit organizations and regional economic development agency partnerships
  • Plan, schedule and implement guest speakers and site visits to businesses and community organizations
  • Support the planning and execution of case studies, practicums, mentorships, internships and clinical opportunities
  • Provide career development support for students, walk-ins, and other students as needed
  • Hold regular virtual hours
  • Collaborate on and support career development efforts (e.g. networking events, resume reviews and workshops, LinkedIn headshots, etc.).
  • Develop and implement strategies to engage prospective, applied and new students in career focused conversations.
  • Oversee the career document review process in Handshake and maintain a one to two business day response rate for all Handshake documents in order to provide students with timely.
  • In collaboration with the Dean of Students of MUAC and The Exchange staff of the Indianapolis campus, provide tailored career and leadership development presentations and workshops to prospective and current students of all majors on the Exchange, its function and resources, and career development topics (career documents, mock interviews, networking, professional dress and etiquette, etc.).
  • Support the Chancellor in building community/business relationships and in the operation of Partners With Impact, in collaboration with the Dean of Students and MUAC Academic professors/staff, to plan and execute experiential learning with outcomes of: guest speakers, site visits, case studies, practicums, internships, clinicals, mentorships and other collaborative opportunities that expose and engage MUAC students to professional careers.
  • Formalize and oversee local work-based learning opportunities, in addition to the Federal Work Study program both on and off campus.
  • Work closely with MARCOM to regularly and strategically highlight and promote student and graduate accomplishments and success narratives.
  • Administrative functions: including ordering supplies; making IT/catering/campus operations requests for career events; providing project and event support; data entry and management of Career Service Management system, Partners With Impact and Handshake. Assist in maintaining and managing The Exchange budget for MUAC by keeping records of expenditures internally, reconcile internal data with operating statements provided by finance dept, WebAdvisor/POs, and provide grant reporting assistance
  • Collaborate with The Exchange staff of the Indianapolis campus to assess and track outcomes for the success of MUAC students, and graduates – in relation to the institutional/experience-based learning outcomes and student employment secured following graduation. Collect data around social media posts and outreach. Work with The Exchange staff of the Indianapolis campus to prepare regular updates and reports highlighting efforts of the office, student success, and progress toward goals.

  • Bachelor’s degree required; Masters, or equivalent combination of education and experience, preferred. Bilingual candidates (especially Spanish) strongly desired. Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds strongly preferred.
  • Excellent communication skills (verbal, written, proofreading/editing, and follow-through; ability to flex communication style to multiple cultural environments; ability to present to diverse audiences, specifically racially, ethnically, and socioeconomically diverse communities);
  • Ability to connect with a multitude of audiences (students, faculty, staff, administration, alumni, external community);
  • Commitment to excellent customer service;
  • Strong initiative, critical-thinking, multi-tasking, and problem-solving skills;
  • Desire a detail-oriented self-starter who can be given a need or objective, break it down into executable pieces, identify questions that need to be asked, prioritize, and executive effectively;
  • Ability to work independently with minimal guidance and direction, as well as within a team environment;
  • High ethical standards for maintaining confidential information.
  • Prior office management, customer service, and experience with Handshake a plus.
